These terms and conditions regulate the Ticket Holder’s online registration, attendance, and participation at a TechBBQ events (both physical and online participation). Please note that “TechBBQ event” refers to any event organized by TechBBQ. The current terms and conditions are valid until they are replaced by a newer version.

TechBBQ’s General Terms & Conditions
These TechBBQ General Terms and Conditions including any Privacy Policy, Code of Conduct and or other applicable policies and guidelines (hereinafter jointly the "Terms") set out the terms and conditions applicable to and in connection with the participation in and use of TechBBQ Services and TechBBQ Events (as defined below). By using or purchasing TechBBQ Services and/or tickets for TechBBQ Events including participating in the events, you are regarded a User (as defined below) and agree to comply with and be bound by these Terms, which may be updated from time to time.
1 Eligibility and Participation Requirements
The “User” of TechBBQ Services or participant in TechBBQ Events is defined as meaning any individual or legal entity who is the purchaser of, user of, participant in, partner to and/or assignee of tickets to any of the TechBBQ Services and/or TechBBQ Events. If a User is representing a legal entity, the User confirms that the legal entity accepts these Terms and that the User has the right to represent such legal entity for the purposes of these Terms. The User or representative of a legal entity is liable for the compliance of these Terms by each employee of such legal entity.
2 Definitions
“TechBBQ Event(s)” meaning all events and gatherings including, but not limited to TechBBQ conferences, online events and online matchmaking platform provided or organized by TechBBQ.
“TechBBQ Service(s)” meaning the website of Techbbq.dk including the online ticket store providers selling the tickets to TechBBQ Events.
“User” meaning any individual or legal entity who is the purchaser of, user of, participant in, partner to and/or assignee of tickets to any of the TechBBQ Services and/or TechBBQ Events.
3 Agreement to Terms
By using or purchasing TechBBQ Services and/or tickets for TechBBQ Events including participating in the events, you are regarded a User (as defined above) and agree to comply with and be bound by these Terms, which may be updated from time to time. For the avoidance of doubt, all Users are under obligation to observe and uphold TechBBQ’s Code of Conduct.
4 General Rules and Restrictions
In order to attend any TechBBQ Event, the User must be in possession of a ticket purchased or assigned to them through a TechBBQ Service.
TechBBQ’s failure to enforce a right does not mean that TechBBQ has waived that right. TechBBQ may assign its rights and obligations under the Terms.
5 Ticket Registration
5.1 Accuracy of Information
In the process of registering for a TechBBQ Event, each User is responsible and liable for submitting precise and complete information. If, for any reason, submitted data is found to be materially inaccurate or in violation of the Terms, TechBBQ reserves the right to revoke the ticket without any form of compensation.
5.2 Ticket Information Changes
A User may modify and/or change ticket information after the purchase/registration of the ticket. The instructions on how to modify information, will be in the confirmation email that is sent to the User. Please note, that it is no longer possible to change the ticket information, once the User has checked in for the event at the entrance or during the pre-registration event.
5.3 Ticket Transfer
After a ticket purchase, a User may transfer their ticket to another individual. The original User, the transferor, must make the necessary changes as per the instructions sent in the confirmation email. The new User, the transferee, will become bound by the Terms, including for the avoidance of doubt the Code of Conduct, Privacy Policy and any other policy and/or guideline applicable for the respective TechBBQ Service and TechBBQ Event. The transferor ceases to have ownership upon the transfer. The User may contact TechBBQ on info@techbbq.org with questions.
Tickets for TechBBQ Events are non-transferable outside the TechBBQ Services and may not be resold for profit or subjected to any additional fees or payments beyond their original purchase price. Any attempt to sell, assign, or transfer tickets at a higher price, or to charge fees for their use, is strictly prohibited and may result in the invalidation of the ticket(s) without a refund.
5.4 Ticket Presentation
It is imperative for Users to present valid tickets at the event entrance for access to a TechBBQ Event. Access to the event app Brella, is not a valid admission to TechBBQ Events and a User will be denied attendance without a valid ticket. If nothing else is determined in the User’s confirmation mail, valid tickets presented at the entrance will be exchanged for a printed badge, which Users are required to wear throughout the event. If the wristband is also provided upon entrance, the User is required to wear it during the duration of the event. Users are not allowed to remove the wristband during the event.
Children below the age of 6 on the date of the event do not need tickets as long as they are accompanied by their parents.
6 Ticket Prices and Fees
Ticket prices, as displayed on the TechBBQ website, include the Danish Value Added Tax (VAT). TechBBQ retains the right to adjust ticket prices, however, such modifications do not impact tickets already in possession. Additionally, supplementary fees may be applicable based on the chosen payment method.
TechBBQ reserves the right to not accept invoice payments for purchases of less than 10 tickets. If an invoice is the selected method of payment, the User needs to contact TechBBQ team at info@techbbq.org.
TechBBQ reserves the right to refuse an invoice payment within 14 days before the event. Tickets will be sent to the User via invoice, only after the full payment is received by TechBBQ.
7 Ticket Refunds
7.1 Refunds
Tickets are non-refundable, although they remain transferable to another individual, as specified in Clause 5.3. Additional service fees may be applicable.
If TechBBQ offers products or services that are subject to mandatory refund regulation, such regulation shall be minimized to the furthest extent possible while still complying with mandatory regulation.
7.2 Visa Application
Should a User require a visa to visit Denmark, the country where the event is hosted, TechBBQ may at its discretion issue an invitation letter upon request, subsequent to a ticket purchase. However, TechBBQ does not complete any forms on the immigration service website. In the event of a visa application being denied, TechBBQ may initiate a ticket refund upon presentation of proof of the visa rejection. It is at the discretion of the TechBBQ team to determine the validity and sufficiency of the provided proof, and refusal of a refund may occur if the documentation is deemed inadequate.
7.3 Prohibited Actions
Ticket resale whether physically or online is strictly prohibited. Any identified tickets for resale will be nullified and no refund will be given, and the User will be denied access to the event premises.
It is not allowed to give tickets away via online channels - online giveaways are only allowed with prior written permission from the Head of Marketing or Head of Partnerships. 8 TechBBQ Badge
8.1 Required Visibility of Badge
Upon obtaining your badge, it is imperative to handle it with care and always ensure its visibility throughout the event. TechBBQ assumes no liability/ responsibility for lost, misplaced or damaged badges.
8.2 Unauthorized Use
In the event of an unregistered individual or someone not assigned to the TechBBQ badge making use of it will result in the forfeiture of the ticket, and the individual will be promptly expelled from the remaining duration of the event and may be excluded from any future TechBBQ Services and TechBBQ Events.
8.3 Replacement Fee
During some TechBBQ Events, TechBBQ may offer wristbands. If wristbands are offered, the Users have the obligation to wear them at all times during the event, together with the printed badge. In case a User receives a wristband at the entrance at the check-in area, but fails to wear it during the event, they may be expelled from the event.
If a User wears a valid wristband and loses or damages their badge, the wristband can be used to claim a new badge. If the wristband is lost, misplaced or damaged, the User is charged a 100 EUR fee at the entrance to be allowed re-entry to the venue. It is important to note that TechBBQ assumes no liability/ responsibility for lost, stolen, damaged, or destroyed tickets, wristbands, or badges.
9 Personal Data
TechBBQ collects and processes data regarding the User. This data is subject to the TechBBQ Privacy Policy [Link] and may be shared with selected TechBBQ partners and projects, as detailed on www.techbbq.dk.
10 Media Policy
By participating in TechBBQ Events, the User consents to being photographed and recorded. TechBBQ alone has exclusive ownership of such media and has an implied right to use it for various purposes, including publications, websites, videos, blog posts and social media content, and other marketing and promotional activities, without further written permission from the User. The User waives any rights in any such media.
All Users are allowed to create their own videos, photography, and other media content during the TechBBQ Event to share it on their own channels, under the conditions provided in section 11 on Intellectual property.
11 Intellectual property
TechBBQ owns and retains ownership of all intellectual property rights and confidential information, including know-how and trade secrets, in TechBBQ, TechBBQ Services and TechBBQ Events. TechBBQ reserves all rights not expressly granted under these Terms.
TechBBQ's brand name and logo are owned by TechBBQ, and may not be copied, imitated or used without prior written consent of TechBBQ. Nothing in these Terms shall constitute a transfer of any intellectual property rights or other rights of TechBBQ to the User.
It is strictly forbidden for any User to attempt to host or organize any event, online or otherwise, in conjunction with, contiguous to or purporting to be related to TechBBQ without prior written consent and co-operation of TechBBQ.
12 Safety During The Event
TechBBQ reserves the right to expel individuals not in compliance with laws, regulations, policies, or these Terms, including the Code of Conduct. Offensive or inappropriate behaviour may lead to removal without reimbursement.
13 Cancellations and Postponements
13.1 Cancellation Due To Unforeseen Circumstances
TechBBQ is not responsible for losses and/or damages incurred due to changes including alterations, cancellations, rescheduling, or postponing of a TechBBQ Event. In case of cancellation or rescheduling due to unforeseen circumstances, TechBBQ reserves the right to change the dates and times of all TechBBQ Events.
13.2 Postponements and Arrangements Of New Dates
If TechBBQ cancels or reschedules any TechBBQ Event for a new date and/or time, TechBBQ may, at its discretion, transfer the ticket(s) to be valid for the new date and/or time, or refund costs related to TechBBQ Events paid by the User upon request within a reasonable time limit specified by TechBBQ on a case-by-case basis, as specified via e-mail to the User. If the User does not contact TechBBQ about a refund within this reasonable time limit (which will be at least 30 days), TechBBQ will not be liable for any refund or reimbursement.
13.3 Substitution and Rights To Make Changes
TechBBQ also reserves the right to make changes to a TechBBQ Event and related schedules. Please note that while speakers and topics may be confirmed, TechBBQ may need to make substitutions, alterations, or cancellations due to circumstances beyond its control. Any changes will be announced on TechBBQ’s channels as soon as possible. Changes in the program lineup, partner attendance and cancellation of certain parts of the stage program do not justify ticket refunds or compensation of any kind.
14 Liability
TechBBQ endeavours to maintain the operational continuity of its services, but occasional interruptions may occur due to technical issues or scheduled maintenance. TechBBQ retains the right to modify or discontinue any functions or features of the TechBBQ Services at its discretion. To the maximum extent allowed by applicable laws, TechBBQ disclaims liability/ responsibility and shall not be liable for any direct, indirect, or consequential, or punitive damages resulting from the TechBBQ Services and TechBBQ Events, including but not limited to loss of profits, even if advised of the possibility of such damages.
The maximum liability of TechBBQ arising from or in connection with the TechBBQ Services and TechBBQ Events shall not exceed the total amount paid by the User for such respective TechBBQ Service or TechBBQ Event.
Unless mandatory law dictates otherwise, Users are required to report any damages within 30 days of their identification to initiate a claim. TechBBQ is not held liable for lost, stolen, or damaged tickets, badges, and wristbands.
15 Force Majeure
TechBBQ bears no responsibility for any failure to fulfill its obligations in the occurrence of a Force Majeure.
15.1 Circumstances of Force Majeure
For the purposes of these Terms, “Force Majeure” are obstacles or circumstances beyond TechBBQ’s control including, but not limited to, the following examples: (1) acts of war, invasion, hostilities, armed conflict, terrorism, or sabotage; (2) acts of authority, compliance with laws or governmental orders, rules, regulations, curfew restrictions, expropriation, nationalization, or compulsory acquisition; (3) widespread or nation-wide strikes, go-slows, and lockouts; (4) natural events such as lightning, fire, earthquake, flood, storm, ice, cyclone, typhoon, tornado, epidemic, or other disease outbreaks; (5) radioactive contamination, ionizing radiation, explosion, or chemical contamination, and (6) impacts of a pandemic, encompassing authority restrictions or other burdensome effects beyond reasonably foreseeable circumstances, including and not only restricted to potential mutations and other pandemics.
15.2 The 60 Day Rule
Should a Force Majeure event lead to a delay or non-performance of TechBBQ Events for a duration exceeding sixty (60) days, the Users will automatically have their tickets transferred to a new event date, and financial reimbursement will not be available.
15.3 Subcontractor and Third Parties
Furthermore, TechBBQ is exempt from liability when a TechBBQ subcontractor or third party experiences a Force Majeure event, and obtaining a subcontract from another source is impractical without incurring unreasonable costs or significant delays.
16 Governing law and disputes
These Terms shall be governed by and construed in accordance with the laws of the Kingdom of Denmark and disregarding its rules on choice of law.
Any dispute arising out of or in connection with these Terms, including any disputes regarding the existence, validity or termination, shall be settled by simplified arbitration arranged by Danish Arbitration in accordance with the rules of simplified arbitration procedure adopted by Danish Arbitration and in force at the time when such proceedings are commenced.
The above arbitration clause does not imply a waiver of any preliminary remedies such as – for instance – preliminary injunction or of any penalties such as – for instance – liquidated damages (in Danish: "konventionalbod”).”
We use the data on attendees and website visitors to enhance the TechBBQ experience, notify you on event updates and deliver advertisements to you on social media and other ad networks.

2.2 We are processing your personal data in accordance with the General Data Protection Regulation (GDPR) and any national regulation applicable to us.
3.1 Non-sensitive personal data We collect the following non-sensitive personal data about you when you sign up as a customer/user:

3.1.1 We process non-sensitive personal data on the basis of Article 6 in the GDPR, more specifically, our legal basis for collecting and processing personal data is for each service outlined below:
The processing of your data is either based on:
• Consent – processing is based on an obtained consent from you.
• Contract – processing is necessary to fulfil a contractual obligation with you or entering into such obligation.
• Legal obligation – it is required by law that we process the personal data.
• Legitimate interest – processing occurs to pursue a legitimate interest for us.
3.1.2 If the processing is based on your consent, you may at any time withdraw your consent by contacting us.
4.1 We and our sub-processors do share or transfer your personal data to a country or territory outside the EU/EØS.
4.2 We and our sub-processors only transfer your personal data outside the EU/EØS where the European Commission has decided that the third country in question ensures an adequate level of protection for the rights and freedoms of data subjects in relation to the processing of personal data.
4.3 We will not share your personal data with any third-parties without your consent, unless it is specifically stated or required by law that we do so.
5.1 Our processing activities do not include profiling or automated decision-making.
6.1 In the event of an actual or contemplated transfer of our company or our assets, or if we discontinue our business or enter into bankruptcy proceedings, we will include data, including your personal information, among the assets transferred to any parties who acquire us or such assets may be the subject of review (due diligence) by such parties (or their representatives). You acknowledge that such transfers may occur, and that any parties who acquire, or contemplate to acquire, us may, to the extent permitted by applicable law, continue to use your personal information according to this policy, which they will be required to assume as it is the basis for any ownership or use rights we have over such information.
7.1 We only process your personal data as stated in this privacy policy and we do not use your personal data for any other purpose than explicitly described above or communicated directly to you elsewhere.
7.2 We process your personal data in a lawful, fair and transparent manner. The data we collect is solely used for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes.
7.3 All use of your personal data is relevant and limited to what is necessary in relation to the purposes for which they are processed.
8.1 When we store and process personal data that we have received from you, we always take every step possible to store it in a secure manner. However, we cannot guarantee that your data is 100% secure as we cannot guarantee that the data will not be accessed or otherwise misused as a result of an unlawful act or similar. We do take all necessary precautions to keep your data safe. When you give us access to- or transfer personal data to us - you do so at your own risk.

8.3 To further increase the level of security, we have “deletion policies” in place. Personal data is kept for a maximum period of 12 months from the purpose of the processing has ended.
9.1 Right to access GDPR Article 15: You have the right to obtain a confirmation from us as to whether or not personal data concerning you is being processed, including information on the purpose-, categories-, recipients-, and time of storage of the processing.
9.2 Right to rectification GDPR Article 16: If you figure out, that the data that is being processed about you is inaccurate or incomplete, you have the right to get that data rectified. We will communicate any rectification or erasure of personal data to any recipient to whom the personal data has been originally disclosed, unless it proves impossible according to Article 19.
9.3 Right to erasure and restriction of processing GDPR Article 17: You also have the right to get your personal data erased, if the personal data is no longer necessary in relation to the purposes for which they were collected or otherwise processed. Please see Article 17 for the full list of reasons for your right to erasure.
9.4 Right to restriction of processing GDPR Article 18: You have the right to restrict the processing of your personal data if it is (i) inaccurate; (ii) unlawful; (iii) the purpose of the processing has changed; or (iv) you have objected to the processing according to Article 21.
9.5 Right to data portability
GDPR Article 20: You have the right to receive the personal data concerning you which you have provided to us, in a structured, commonly used and machine-readable format. You can also request that we transmit your data to another party.
9.6 Right to object GDPR Article 21: You have the right to object to the processing of your personal data if it is being used for profiling or direct marketing purposes.
