The data that is collected will be used by the TechBBQ (Organizer) to plan and manage the event for which you registered, as well as email you relevant details about the event.

These terms and conditions regulate the Ticket Holder’s online registration, attendance, and participation at a TechBBQ event. Please note that “TechBBQ event” refers to any event organized by TechBBQ. The current terms and conditions are valid until they are replaced by a newer version.

TechBBQ’s General Terms & Conditions

TechBBQ’s Terms and Conditions are applicable to all services provided by TechBBQ. By using TechBBQ services (such as purchasing a ticket for an event or subscribing to TechBBQ newsletter) users accept that they must abide by TechBBQ’s terms and conditions.

Terms and Conditions for Ticket Holders

TechBBQ’s Terms and Conditions are applicable to all services provided by TechBBQ. By using TechBBQ services (such as purchasing a ticket for an event) users accept that they must abide by TechBBQ’s terms and conditions. All ticket holders are also obliged to follow TechBBQ code of conduct.

By agreeing to purchase a ticket from TechBBQ for a TechBBQ event, the Ticket Holder agrees to TechBBQ’s terms and conditions.

These conditions regulate the Ticket Holder’s online registration, attendance, and participation at TechBBQ event. Please note that “TechBBQ event” refers to any event organized by TechBBQ. The current terms and conditions are valid until they are replaced by a newer version, in which case ticket holders will be notified about the changes.

Ticket Registration

Every individual or organization registering for a ticket to a TechBBQ event is responsible for providing accurate and complete data. If, for any reason, the data submitted is inaccurate or in breach of TechBBQ services, TechBBQ reserves the right to remove the ticket from the user without any form of compensation.

Please note that the purchased ticket is personal and can only be used by the individual whose name is listed in the registration form. The user is allowed to change the ticket information and transfer said ticket to another user. If the ticket holder needs help with changing the information on the ticket or with transferring the ticket to another individual, they can contact us at info@techbbq.org.

Ticket Prices & Fees

All ticket prices displayed on the TechBBQ website include the VAT (value-added tax). TechBBQ has the right to change ticket prices at any time but these changes will not in any way affect the tickets that have already been purchased.

In addition to the ticket price, an additional payment method fee and other types of fees may occur, depending on the way the payment is processed.

Ticket Refunds

A Ticket Holder is eligible for a refund of the ticket cost they paid, if they have a change of mind within 7 days of purchase. Please note the processing fees for purchasing tickets are non-refundable. A request for a refund must be emailed to info@techbbq.org. The money will be refunded to the same source from which the ticket was purchased. Additional service fees may be applicable. After these 7 days, your tickets have become non-refundable. However, you can change the name of your ticket allocation to a colleague, client, or friend. In case of any questions, feel free to contact us at info@techbbq.org.

The exception to the above policy is that no tickets are eligible for a refund if purchased within 14 days prior to the TechBBQ event.

Purchased tickets are not for online reselling. It is strictly prohibited to resell tickets online. It is also forbidden to offer them as part of a promotion or a giveaway, unless there is a written consent from TechBBQ. Any tickets that we find are available for reselling will be cancelled and holders of said tickets will not be able to enter the premises during the event.

TechBBQ Badge & Wristband

To attend TechBBQ, you must have both a badge and wristband. TechBBQ will not be responsible for any lost, stolen, damaged, or destroyed tickets, wristbands, or badges. Once you have received your badge, you must handle it with care and keep it visible at all times during the conference.

If someone who is not registered as an attendee is seen using a TechBBQ badge and/or wristband, or if the badge was assigned to a different person, the ticket will be forfeited and the person will be removed from the conference or other TechBBQ service. The replacement fee for a lost wristband is 100€. For clarity, TechBBQ accepts no liability for any lost, stolen, damaged, or destroyed tickets, wristbands, or badges. Personal Data

TechBBQ collects and processes data in relation to user registration. This data can be used or shared with TechBBQ partners and projects, TechBBQ partners and projects can be found on www.techbbq.org.

Media Policy

During a TechBBQ event, we may have photographers and/or videographers capturing and recording the event. By attending TechBBQ, the Ticket Holder agrees to be photographed and/or recorded, and TechBBQ will be the sole owner of such media.

TechBBQ reserves the right to use any media recorded at TechBBQ without the express written permission of those included in the media, and the Ticket Holder waives any right therein.

TechBBQ may use these photos and/or recordings in publications or other media material produced or used by TechBBQ, including but not limited to: programmes, websites, videos, social media content, newspapers, newsletters, and/or blog posts. All attendees are allowed to create their own video or photo content during TechBBQ and share it on their channels.

Safety during the event

During any TechBBQ event, we reserve the right to remove any individual who we consider does not follow the laws, regulations, policies or code of conduct stated by TechBBQ and the venue where the event is taking place. TechBBQ also has the right to remove individuals who are causing offense, annoyance or showing inappropriate behavior in the event premises.

Cancellation, Postponement, and Substitution Policy TechBBQ is not responsible for any loss or damage resulting from the substitution, alteration, cancellation, rescheduling, or postponing of TechBBQ Services. In the event of unforeseen circumstances that may impact TechBBQ Services, TechBBQ reserves the right to change the dates and times of all TechBBQ Services. If TechBBQ cancels or reschedules any TechBBQ Service for a new date and/or time, TechBBQ may, at its discretion, transfer the ticket(s) to be valid for the new date and/or time, or refund costs related to TechBBQ Services paid by the user upon request within a reasonable time limit specified by TechBBQ on a case-by-case basis. If the user does not contact TechBBQ about a refund within this reasonable time limit (which will be at least 30 days), TechBBQ will not be liable for any refund or reimbursement.

TechBBQ also reserves the right to make changes to TechBBQ Services and related schedules. Please note that while speakers and topics may be confirmed, TechBBQ may need to make substitutions, alterations, or cancellations due to circumstances beyond its control. Any changes will be announced on TechBBQ's channels as soon as possible. Liability

TechBBQ will strive to keep its services operational, but there may be occasional interruptions due to technical difficulties or maintenance. TechBBQ reserves the right to modify or discontinue any functions or features of its services at any time. However, TechBBQ will not be held responsible for any direct, indirect, or consequential damages resulting from the use of its services, participation in TechBBQ events, or any related activities, unless the damages were caused by willful misconduct or gross negligence. Users must report any damages within 30 days of noticing them in order to file a claim. TechBBQ is not liable for any lost, stolen, or damaged tickets or badges. Force Majure

TechBBQ cannot be held responsible for any failure to fulfill its obligations in the event of a Force Majeure. This refers to any unforeseen event, obstacle, or circumstance beyond TechBBQ's control that: (1) cannot be reasonably controlled by TechBBQ; (2) could not have been reasonably avoided or overcome without incurring unreasonable costs or delays; and (3) is not attributable to TechBBQ.

In the event that a Force Majeure Event causes a delay or non-performance of TechBBQ Services for more than sixty (60) days, the User will automatically have their tickets transferred to a new event date and ticket holders will not have the possibility of being reimbursed financially.

For the purposes of these Terms, examples of “Force Majeure Events” include, but are not limited to, the following events and circumstances: (1) any act of war (whether declared or undeclared), invasion, hostilities, armed conflict or act of foreign enemy, blockage, embargo, revolution, riot, insurrection, civil commotion, act of terrorism or sabotage; (2) act of authority whether lawful or unlawful, compliance with any law or governmental order, rule regulation or direction, curfew restriction, expropriation, compulsory acquisition, seizure of works nationalization; (3) strikes or go-slows and lockouts that are widespread or nation-wide; (4) natural events including but not limited to lightning, fire, earthquake, flood, storm, ice, cyclone, typhoon or tornado; and epidemic or other outbreaks of diseases; or (5) radioactive contamination, ionizing radiation, explosion or chemical contamination.

To clarify, a Force Majeure Event includes the impacts of the COVID-19 pandemic, such as authority restrictions or other burdensome effects that are beyond what would be reasonably foreseeable, including potential COVID-19 mutations. In the event that a subcontractor of TechBBQ experiences a Force Majeure Event and it is not feasible to subcontract from another source without incurring unreasonable costs or significant delays, TechBBQ will be released from liability.

Terms and Conditions for Partner Agreement

By agreeing to purchase a partnership package from TechBBQ, the Partner agrees to TechBBQ’s terms and conditions.

By agreeing to partnering and purchasing a package from TechBBQ, the Partner agrees to TechBBQ's terms and conditions. Payment

Payment shall be carried out in a time frame adherent to TechBBQ company policy.

TechBBQ company policy sets its standard invoice time to 30 days for all invoices unless differently agreed upon.

All partnerships signed before 1 August 2023 with payment due in 30 days from invoice date (Net 30).

All partnerships signed after 1 August 2023 with payment due in 7 days from invoice date (Net 7).

All payments are due, paid in full on or before 1 September 2023, unless the partnership is agreed according to § 1.b.ii In the case that the terms of payment are not respected, TechBBQ will charge an additional 2% of the total cost of the partnership. In the case that payment remains outstanding by 1 September 2023, with the exception of § 1.b.ii, TechBBQ reserves the right to withhold deliverables of the agreed-upon partnership. In addition to §2, TechBBQ will charge an additional fee of 100 DKK ex. VAT per reminder, with a maximum of 3 reminder fees. After the 3rd reminder, the invoice will be sent to a debt collector with immediate effect.

Postponement and Cancellation

If TechBBQ 2023 is postponed up to 6 months from the original dates (13th-14th September 2023), the partnership agreement is valid at the same conditions and no additional costs or refunds will be emitted.

If TechBBQ 2023 is delayed beyond 6 months, the partner can keep the partnership for TechBBQ 2024, or get refunded 100%. If TechBBQ 2023 is canceled, 50% of the sponsorship will be refunded. TechBBQ accepts no liability if the event is canceled or postponed for reasons beyond our reasonable control. Upon cancellation in the period up to and including 90 days before the event, 100% of the agreed sponsorship will be paid to TechBBQ. If TechBBQ 2023 is canceled due to COVID-19 virus outbreak, 100% of the sponsorship will be refunded

Requests by a partner to cancel participation should be submitted by email to the responsible contact person from TechBBQ Partnerships, with cc accounts@techbbq.org. Consequences after Contract Termination:

TechBBQ will reserve the right of legal action in the case of uncooperativeness in the resolution of the due payment. Privacy

When an exchange of service occurs between TechBBQ and the Partner, data collection will occur, including the collection of personal data.

Personal data that may be collected includes but is not limited to: name, organization, role, email address. Personal data collected by TechBBQ will be handled carefully and in accordance with the applicable GDPR regulations. By purchasing a ticket, the Partner agrees that their personal information can be used for programme, media and marketing purposes.

TechBBQ may use the Partner information to generate analytics and/or communicating/promoting products and services which may be of interest to the Partner;

TechBBQ can share Partner information with third parties for the purposes of generating analytics and/or communicating/promoting products and services. Risk and Liability

Goods of a Partner present at the venue are brought at the expense and risk of the Partner. TechBBQ encourages all Partners to watch over their goods as TechBBQ is not responsible for any theft that may occur.

TechBBQ is not liable for any loss or damages suffered directly or indirectly by a Partner, by their personnel, by persons working on the instructions of the Partner, by the holders of admission tickets issued to the Partner or by their visitors, unless in the case of gross negligence or wilful intent on the part of TechBBQ.

Food which is brought in or purchased at the venue cannot be left out overnight and needs to be either taken home or left in a sealed container at the (FRIDGE)

Media Policy

During TechBBQ, we have photographers and videographers capturing and recording the event. By attending TechBBQ, the Partner agrees to be photographed or recorded, and agrees that TechBBQ will be the sole owner of such media. In case of external marketing usage, please use the following media reference when publishing the content online “PR / TechBBQ”.

TechBBQ reserves the right to use any media taken at TechBBQ without the express written permission of those included in the media, and the Partner waives any right therein.

TechBBQ may use the photo or recording in publications or other media material produced or used by TechBBQ, including but not limited to: programmes, websites, newspapers, newsletters, blog posts.
