By submitting this form, I agree that the data that is collected will be used by the Organizer (Inspired Minds Media Ltd) to plan and manage the event which I am registering, as well as email me relevant details about the event in accordance with our T&Cs and Privacy Policy. I understand that by scanning my badge at a TouchPoint or by allowing my badge to be scanned by an exhibitor or sponsor, I will be providing that exhibitor or sponsor with my personal data (as disclosed when registering). Summary

This document sets out the terms and conditions between World Summit AI Ltd and you when you purchase a ticket or register for any event or conference organised by World Summit AI Ltd or participate in any survey of World Summit AI Ltd. By purchasing a ticket or registering for an event organised by World Summit AI Ltd or participating in a survey you are agreeing to comply with and be bound by these terms and conditions. You should read this document carefully. World Summit AI Ltd reserves the right to change these terms and conditions at any time. Any amended terms and conditions will be posted on this website. EVENT ORGANISER World Summit AI is being organised by World Summit AI Ltd, a wholly British-owned company, which is in the main business of organising technology conferences.

DATA PRIVACY The Full Privacy policy is available here

TICKETS You cannot resell a ticket. Doing so will void the ticket and the ticket holder will not gain entry into the event.

All tickets must be assigned to an attendee, and all attendee details must be 100% complete at least 30 days before the event. Ticket reassignment after this date is prohibited.

If you have secured a complimentary ticket but have already bought a ticket, you are not eligible for a refund.

VOLUNTEERS By agreeing to act as a volunteer at an event, I acknowledge that:

I will receive no compensation for travel, accommodation etc. There is no guarantee that I will be selected to be a volunteer at the event. If I violate any event rule or fail to show up for an assigned shift, my accreditation can be removed and I will be denied access to the event. I attest to the truth of all statements made in my application. The use of alcohol and/or controlled substances before or while on duty is strictly prohibited. Violation of this policy will result in immediate dismissal, removal of accreditation and removal from the event grounds. Selection as a volunteer grants permission to World Summit AI Ltd, or other group companies, to use the volunteer likeness, name, voice and words in television, radio, film, newspapers, magazines and other media, both during and anytime after the event, and in any form, for advertising or communicating the purpose of the event(s). In the course of the event, I may be dealing with confidential information and I agree to keep such information in the strictest of confidence. have read and fully understood these terms and conditions. World Summit AI Ltd has free lifetime use of any image or video content created by attendees at World Summit AI (and any other events organised by World Summit AI Ltd).

CHANGES TO THE POLICY World Summit AI Ltd reserves the right to modify this Data Protection Policy and Declaration of Consent at any time. Any changes will be posted on our homepage and other places we deem appropriate so that you are aware of the changes.

REFUND AND CANCELLATION POLICY All purchases of tickets for WSAI are non-refundable in their entirety, after the 7 day cooling off period. You may change the name on your ticket until up to 30 days before the event by contacting hello@worldsummit.ai. Your ticket remains the property of World Summit AI Ltd and is a personal revocable license, which may be withdrawn, and admission refused at any time upon a refund of the printed registration price.

In the unlikely event of cancellation of an event, the liability of World Summit AI Ltd is limited to the share of paid registration fees that remains after credit card and payment processing fees have been incurred and deducted.

It is strictly forbidden for any company, organisation or attendee to attempt to host or organise any event in conjunction with, contiguous to or purporting to be related to World Summit AI without the express prior permission and cooperation of World Summit AI Ltd. In the event of a breach of these terms any tickets purchased will be rendered null and void. World Summit AI Ltd reserves their right to take such legal action including a claim for damages as may be appropriate.

Including but not limited to use as part of any promotion or competition. Where there has been any resale or attempted resale of any tickets (or any other breach of this term), we reserve the right to cancel the relevant tickets with immediate effect.

We reserve the right to cancel any ticket purchase made by any person or body whom we reasonably believe to be associated with any ticket broker or tout.

World Summit AI Ltd reserves the right to refuse admission to any event or conference for any behaviour, which it deems unacceptable, or for breach of the terms and conditions.

World Summit AI Ltd will not be responsible for any tickets that are lost or stolen.

The unauthorised use of photographic and recording equipment at events is prohibited. You consent to film and sound recording as attendees at any event or conference.

World Summit AI Ltd and its subsidiaries will not be liable for any loss injury or damage to any person or property howsoever caused (save for death or personal injury as a result of World Summit AI Ltd. ‘s negligence or for any other type of liability that cannot by law be excluded or limited.)

World Summit AI Ltd will not be liable for the granting of any visas that are required to attend any event or conference. In the event that an attendee’s visa is not granted tickets will not be refunded for any event.

Name changes will be facilitated free of charge. No name changes will be facilitated 30 days prior to the commencement of the event and the ticket price will be forfeited.

If you have been selected to volunteer at the event but have already bought a ticket, you are not eligible for a refund.

COMPLAINTS Complaints can be made to hello@worldsummit.ai. We will endeavour to resolve any customer complaints where reasonable.

EVENT CANCELLATION, POSTPONEMENT & SUBSTITUTION POLICY World Summit AI Ltd is not responsible for any loss or damage as a result of a substitution, alteration, cancellation or postponement of an event World Summit AI Ltd shall assume no liability whatsoever in the circumstances that an event is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of an event impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labour strike, extreme weather or other emergency.

Please note that while speakers and topics are confirmed at the time of publishing, circumstances beyond the control of the organisers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, World Summit AI Ltd reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.

Delivery Policy Once a successful purchase transaction has been completed, tickets are delivered in electronic soft-copy via email to the email address nominated by the purchaser. For some ticket types it may be necessary to complete required information – such as attendee name or tax identification number – before the tickets can be issued. The ticket acts as a receipt for the transaction and can be used to redeem entry at the event listed on the ticket. A printed hard-copy ticket or an electronic soft-copy ticket detailing the reference number can be used to register at the event.

GENERAL CLAUSES World Summit AI Ltd shall be entitled to delegate the duties provision of its obligations under this Agreement. No other terms shall apply to this Agreement and these terms contain the entire agreement and understanding between us in respect of all matters, which are referred to herein and supersede any prior, written or oral agreement between us relating to such matters. You confirm that in agreeing to accept these terms you have not relied on any representation that is not expressly included herein and you agree that you shall have no remedy in respect of any misrepresentation which has not become a part of these terms. However, nothing in these terms purport to exclude liability for any fraudulent statement or act. If any part of the terms herein shall be deemed unlawful, void or for any reason unenforceable then that provision shall be deemed to be severable from these terms and shall not affect the validity and enforceability of any of the remaining provisions of the terms. You agree not to:

We make sure that not only do we have appropriate security measures in place, but that any other organisation we work with to provide a service also meets the same standard as us. And for the purposes of this document known as Inspired Minds Media Ltd (“Inspired Minds”, “we”, “us”, “our”), organisers of conferences including “World AI Week”, “World Summit AI”, “Intelligent Health” and “World Summit AI Americas” (each, a “Conference”) and owners of the websites https://inspired-minds.co.uk/ and https://ada-ai.org/, is committed to protecting your personal information. We invite you to read this Privacy Policy, which explains the types of information collected and created in connection with the relevant Conference, how and why we use such information, who we share it with and your legal rights.

Unless indicated otherwise, this Privacy Policy relates to our use of any personal information we collect or use in relation to the following services (collectively, the “Services”):

  1. Information we collect When we provide the Services, we collect and receive information in several different ways. In many cases, you choose what information to provide, although some information is required for us to provide you the Services.

2.1 Directly from you, or approved third parties. We collect a variety of information from you when you provide it to us directly, when we request it from you, or when you give us permission to get it from a third party source. – Attendee registration information. When you register to attend a Conference, you must provide us with basic information such as Title, Name, Country of residence, Phone number, Company Type, Company Size and Sector. We also give you the option to provide additional information. – Volunteer registration information. When you register to volunteer at a Conference, you must provide us with basic information such as Title, Name, Country of residence, Phone number, Company Type, Company Size and Sector. We also give you the option to provide additional information. – Payment and credit card information. When purchasing tickets to attend a Conference, you must provide us with your name, address, telephone number, email address, credit card, debit card or bank information. This information will only be shared with third parties such as our ticketing partner, Ti.to, or Stripe or Paypal, who perform tasks required to complete the purchase transaction. – Conference app profile information. You have the option to download a Conference app, providing us with additional profile information in the Conference app, such as name, email address and photo, which will be discoverable within the app by other attendees and partners of the Conference. – Conference survey responses. We may ask you to participate in optional surveys regarding your experience at the Conference in order to help us improve the event and for related commercial purposes. – Third party social media accounts. If you choose to connect your social media account(s) with the Conference app, we may receive certain information from that account, such as your title, picture, and other information you authorize.

2.2 From your browser or device. We automatically collect certain information from your browser or device when you use certain Services or read a message from us. For example, we collect data regarding the device you are using, such as its unique identifier and operating system; logs will be recorded by our servers based on the information sent from your app or browser; and information may be recorded by cookies and similar technologies when you use the Services.   1. How we use your information We use your information in order to provide, operate, improve, understand, customize, support, and market our Services, including:

3.1 Providing and improving the requested Services. We use your personal information as necessary to run the Conference, such as to register attendees, issue tickets, facilitate information sharing with partners with whom you have consented for us to share information, and provide you with relevant connections and content during the Conference based on this information and your use of the Conference app.

3.2 Communicating with you. We use your personal information to contact you regarding your registration to attend, volunteer or speak at a Conference or sponsor or exhibit, to notify you of any changes to our policies and practices, for commercial, sales or investment purposes, and to respond to any requests or inquiries you may submit to us. If you subscribe to our mailing list, we will use your information as described below.

3.3 Marketing. If you opt-in to receiving marketing communications from us, we will use your personal information for outreach and marketing, such as to send you information about our future Conferences or to exhibit or sponsor. You can opt-out of these communications by using the unsubscribe links in our communications or by changing your Conference app settings.

3.4 Advertising. We use your personal information to be able to show you advertising on other websites. Please also review our cookie policy for your options to control how we use cookies and similar technologies for advertising.

  1. Legal bases for processing your information We rely on a number of bases to lawfully process your personal information for the purposes described in this Privacy Policy. We use your information as it is necessary to pursue our legitimate interests, or those of our attendees, our volunteers or our partners in ensuring the Conference is a safe and secure event, such as enforcing our Terms and Conditions. We also act in the legitimate interests of these parties with respect to our Conference website, app and other Services, such as by implementing and enhancing security measures and protections and protecting against fraud, spam and abuse. – Provide, develop and improve the Services. We process your information as necessary to pursue our legitimate interests in improving the Conference and our other Services, such as our Conference websites and apps. For example, we use your information in order to conduct access control and enforce security at the Conferences.   3. Sharing with third parties We share information with attendees, service providers, affiliates, partners, and other third parties where it is necessary to perform the Terms and Conditions, to provide the Services, and for other purposes described in the Privacy Policy.

6.1 Sharing with other attendees. Our Services, such as the Conference app, provides attendees with the means of making connections with other attendees. For example, the profile information that you choose to provide us will be accessible to other attendees of the Conference, subject to your settings. QR code scanning functionality on your badge is activated by default. You can provide your information to other attendees and partners by allowing them to scan the QR code on your attendee badge. Once this happens, you may consent to the sharing of your contact information with these individuals and companies.

6.2 Sharing with exhibitors, speakers, sponsors or connected parties. In the same manner, when you permit show exhibitors, speakers, sponsors or other connected parties to scan your badge you permit the transfer of your data to these individuals or organisations.

6.3 Marketing. In order to further our legitimate interests in marketing the Services, we rely on third-party marketing platforms and service providers to assist us and perform certain marketing services for us.

6.4 Advertising. We share your personal information with common advertising platforms such as Facebook, Google and LinkedIn to show you advertising when you use those services. Please also review our cookie policy for your options to control how we use cookies and similar technologies for advertising.

6.5 Third party service providers. We may share your personal information to help us operate, provide, improve, understand, customize, support, and market our Services. These third parties provide us with services including for customer support, data storage and website hosting, ticketing and payments processing, legal advice and compliance, and marketing and data analysis. These third parties are contractually required to use it only to provide their service to us, and prohibited from using it for their own purposes.

6.6 Business re-organisation. In instances where Inspired Minds or its affiliates are subject to a re-organisation, such as a merger or acquisition of some or all of its assets, we may, in accordance with our legitimate interests, need to share information in the course of the transaction. In such circumstances, your information may be disclosed, where permitted by applicable law, in connection with such corporate restructuring, sale, or assignment of assets, merger, or other changes of control or financial status of Inspired Minds Medi Media Ltd or its affiliate.

6.7 Legal and safety reasons. We may retain, preserve, or share your personal information if we have a good-faith belief that it is reasonably necessary to (a) respond, based on applicable law, to a legal request (such as, a subpoena, search warrant, court order, or other request from government or law enforcement); (b) detect, investigate, prevent, and address fraud and other illegal activity, security, or technical issues; (c) protect our rights, property, or safety; (d) enforce our Terms and Conditions or any other agreements we have with you; or (e) prevent physical injury or other harm to any person or entity, including yourself and members of the general public.

6.8 Aggregated information. We may also share aggregated or de-identified information, such as counts of attendee job titles or their affiliated companies, with companies we do business with, including our advertisers, partners as well as other organisational members.

Data retention We will retain your personal information for as long as is necessary, up to a period of three years after such information is collected, to achieve the purposes set out in this Privacy Policy, such as to provide you with the Services. We may also need to retain some of your information for a longer period to comply with our legal and regulatory obligations, to resolve disputes, and to enforce our Terms of Service.

9.2 Object. Where we process your information based on the legitimate interests described above, or in the public interest, you can object to the processing in certain circumstances. We will generally stop processing your information unless we have compelling grounds to continue processing, such as where needed for legal reasons. Where we use your information for direct marketing, you can always object using the unsubscribe link in such communications, changing your profile settings or by contacting us.

9.3 Revoke consent. If we have specifically asked for your consent to use your information, you have the right to withdraw your consent at any time.
