This document sets out the terms and conditions between Inspired Minds Media Ltd and you when you purchase a ticket or register for any event or conference organised by Inspired Minds Media Ltd or participate in any survey of Inspired Minds Media Ltd. By purchasing a ticket or registering for an event organised by Inspired Minds Media Ltd or participating in a survey you are agreeing to comply with and be bound by these terms and conditions. You should read this document carefully.

This document sets out the terms and conditions between Inspired Minds Media Limited – and you when you purchase a ticket or register for any Event or conference organised by Inspired Minds Media Limited – or participate in any survey of Inspired Minds Media Limited –. By purchasing a ticket or registering for an Event organised by Inspired Minds Media Limited – or participating in a survey you are agreeing to comply with and be bound by these terms and conditions. You should read this document carefully.
Inspired Minds Media Limited – reserves the right to change these terms and conditions at any time. Any amended terms and conditions will be posted on this website. Applicable from 15/01/2018.
EVENT ORGANISER Inspired Minds Media Limited – is a wholly British-owned company, which is in the main business of organising technology conferences including World Summit AI and Intelligent Health.

TICKETS You cannot resell a ticket. Doing so will void the ticket and the ticket holder will not gain entry into the Event.
All tickets must be assigned to an attendee, and all attendee details must be 100% complete at least 30 days before the Event. Ticket reassignment after this date is prohibited.
If you have secured a complimentary ticket but have already bought a ticket, you are not eligible for a refund.
This applies whether you are booking to attend an Event in person (“Physical Event) or online (“Digital Event”) Some Events can be attended as either a Physical Event or a Digital Event. Individuals who attend (or register to attend) any Event are referred to in these terms as “Attendees.”
ATTENDING PHYSICAL EVENTS
Please advise us of any special access requirements at the time of confirming your booking, for any Physical Event
ATTENDING DIGITAL EVENTS
The Digital Event is a web-based Event, which is accessible via your desktop or mobile device using the link provided in the confirmation email sent to You. The Digital Event can be access live during the course of the Event.
You are solely responsible for ensuring that you have the necessary desktop or mobile equipment and internet connecting for accessing the Digital Event.
You are not permitted to make your own video or audio recordings of the Digital Event or use any photographs or screenshots of the Digital Event, for commercial purposed, unless expressly permitted by Inspired Minds Media Limited.
Materials distributed by or on behalf of Inspired Minds Media Limited in connection with a Digital Event, may not be reproduced without the permission of Inspired Minds Media Limited.
VOLUNTEERS
By agreeing to act as a volunteer at an Event, I acknowledge that:
There is no guarantee that I will be selected to be a volunteer at the Event. If I violate any Event rule or fail to show up for an assigned shift, my accreditation can be removed and I will be denied access to the Event. I attest to the truth of all statements made in my application.
Selection as a volunteer grants permission to Inspired Minds Media Limited –, or other group companies, to use the volunteer likeness, name, voice and words in television, radio, film, newspapers, magazines and other media, both during and any time after the Event, and in any form, for advertising or communicating the purpose of the Event(s). In the course of the Event, I may be dealing with confidential information and I agree to keep such information in the strictest of confidence. have read and fully understood these terms and conditions. Inspired Minds Media Limited –has free lifetime use of any image or video content created by attendees at Inspired Minds Media Limited – (and any other Events organised by Inspired Minds Media Limited –).
CHANGES TO THE POLICY Inspired Minds Media Limited – reserves the right to modify this Data Protection Policy and Declaration of Consent at any time. Any changes will be posted on our homepage and other places we deem appropriate so that you are aware of the changes. This policy was updated on 31/03/2020
REFUND AND CANCELLATION POLICY All purchases of tickets for Inspired Minds Media Limited Events are non-refundable in their entirety. You may change the name on your ticket until up to 30 days before the Event by contacting hello@inspired-minds.co.uk Your ticket remains the property of Inspired Minds Media Limited – and is a personal revocable license, which may be withdrawn, and admission refused at any time upon a refund of the printed registration price.
In the unlikely event of cancellation of an Event, the liability of Inspired Minds Media Limited – is limited to the share of paid registration fees that remains after credit card and payment processing fees have been incurred and deducted.
In the event of cancellation of a Physical Event due to COVID-19, you will be refunded the difference in price of the Physical Event ticket to the Digital Event ticket.
Until eight weeks before the event, you may cancel your registration within 7 days of your booking and receive a refund of your fees paid to Inspired Minds Media Limited – less the administration charges equivalent to 10% of the total amount of your fees plus VAT (if any) Cancellations after 7 days from the purchase date are non-refundable. All cancellations must be sent by email to hello@inspired-minds.co.uk
It is strictly forbidden for any company, organisation or attendee to attempt to host or organise any Event in conjunction with, contiguous to or purporting to be related to Inspired Minds Media Limited –without the express prior permission and cooperation of Inspired Minds Media Limited –. In the Event of a breach of these terms any tickets purchased will be rendered null and void. Inspired Minds Media Limited – reserves their right to take such legal action including a claim for damages as may be appropriate.
Including but not limited to use as part of any promotion or competition. Where there has been any resale or attempted resale of any tickets (or any other breach of this term), we reserve the right to cancel the relevant tickets with immediate effect.
We reserve the right to cancel any ticket purchase made by any person or body whom we reasonably believe to be associated with any ticket broker or tout.
Inspired Minds Media Limited – reserves the right to refuse admission to any Event or conference for any behaviour, which it deems unacceptable, or for breach of the terms and conditions. This applies to both Physical Events and Digital Events.
Inspired Minds Media Limited – will not be responsible for any tickets that are lost or stolen.
The unauthorised use of photographic and recording equipment at Events is prohibited. You consent to film and sound recording as attendees at any Event or conference.
Inspired Minds Media Limited – and its subsidiaries will not be liable for any loss injury or damage to any person or property howsoever caused (save for death or personal injury as a result of Inspired Minds Media Limited –.

EVENT CANCELLATION, POSTPONEMENT & SUBSTITUTION POLICY
You may substitute delegates at any time by providing reasonable advance notice to Inspired Minds Media Limited –. You may cancel your registration within 7 days of your booking and receive a refund of your fees paid to Inspired Minds Media Limited – less the administration charges equivalent to 10% of the total amount of your fees plus VAT (if any). Cancellations after 7 days from the purchase date are non-refundable. All cancellations must be sent by email to hello@inspired-minds.co.uk
In the Event that Inspired Minds Media Limited – cancels an Event for any reason, you will receive a credit for 100% of the contract fee paid. You may use this credit for another Inspired Minds Media Limited – Event to be mutually agreed with Inspired Minds Media Limited – which must occur within one year from the date of cancellation. In the Event that Inspired Minds Media Limited – Ltd postpones an Event for any reason and the delegate is unable or unwilling to attend in on the rescheduled date, you will receive a credit for 100% of the contract fee paid. You may use this credit for another Inspired Minds Media Limited –Event to be mutually agreed with Inspired Minds Media Limited –which must occur within one year from the date of postponement.
Inspired Minds Media Limited – (The Organiser’s) reserve the right to refuse admission to the Event and associated communities (whether online or physical) to anyone whom we deem to be a competitor, have any conflicting interests or attempt to pitch business towards any attendees (including but not exclusive to speakers, vendors and delegates). We hold the final decision in deciding who comes under these profiles and refusing participation.
Inspired Minds Media Limited – is not responsible for any loss or damage as a result of a substitution, alteration, cancellation or postponement of an Event Inspired Minds Media Limited – shall assume no liability whatsoever in the circumstances that an Event is cancelled, rescheduled or postponed due to a fortuitous Event, Act of God, unforeseen occurrence or any other Event that renders performance of an Event impracticable, illegal or impossible. For purposes of this clause, a fortuitous Event shall include, but not be limited to: war, fire, labour strike, extreme weather or other emergency.
Please note that while speakers and topics are confirmed at the time of publishing, circumstances beyond the control of the organisers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, Inspired Minds Media Limited –reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.
Delivery Policy Once a successful purchase transaction has been completed, tickets are delivered in electronic soft-copy via email to the email address nominated by the purchaser. For some ticket types it may be necessary to complete required information – such as attendee name or tax identification number – before the tickets can be issued. The ticket acts as a receipt for the transaction and can be used to redeem entry at the Event listed on the ticket. A printed hard-copy ticket or an electronic soft-copy ticket detailing the reference number can be used to register at the Event.
GENERAL CLAUSES Inspired Minds Media Limited – shall be entitled to delegate the duties provision of its obligations under this Agreement. No other terms shall apply to this Agreement and these terms contain the entire agreement and understanding between us in respect of all matters, which are referred to herein and supersede any prior, written or oral agreement between us relating to such matters. You confirm that in agreeing to accept these terms you have not relied on any representation that is not expressly included herein and you agree that you shall have no remedy in respect of any misrepresentation which has not become a part of these terms. However, nothing in these terms purport to exclude liability for any fraudulent statement or act. If any part of the terms herein shall be deemed unlawful, void or for any reason unenforceable then that provision shall be deemed to be severable from these terms and shall not affect the validity and enforceability of any of the remaining provisions of the terms. You agree not to:

ATTENDEES UNDER AGE 18 Attendees under the age of 18 must be accompanied by an adult chaperone up until the point of conference registration/accreditation collection.
Chaperones are not required to attend the conference provided their youth attendee(s) is/are aged 16 or over but are welcome to do so provided they purchase a valid ticket.
Chaperones must make themselves known, in person and with valid identification, to conference staff in the presence of the youth attendee at the point of registration/accreditation collection.
Chaperones must provide valid contact information for the duration of the conference.
The conference may require documentation for the authorisation of the youth’s attendance prior to registration/accreditation collection.
These documents include, but are not limited to, the following: copy of passport or other identification for both the youth and the chaperone(s), copy of the youth’s birth certificate, notarized letter of consent signed by both parents or legal guardian (or by a single parent with accompanying proof of sole custody).
Inspired Minds Media Limited – to comply with these documentation requirements.
Children under the age of 3 will be admitted free of charge provided they are accompanied by a parent or legal guardian.
The conference is not responsible for any requirements associated with travel to or from the conference location.
Please check with individual airlines and other agents of travel, as rules vary.
Many hotels require any guest under the age of 18 to be accompanied by an adult.
Chaperones may be required to stay in the hotel room with the youth and may be required to be primarily responsible for the booking of that room.
Requirements by age 3 and under: chaperone for the duration of the Event; no ticket required for youth 3 – 16: chaperone for the duration of the Event; ticket required for youth and chaperone 16 – 18: guardian permission at reg; ticket required for youth only 18 +: ticket required *Date of birth prior to date of accreditation collection
HOSTED PROGRAM
As a Hosted Attendee or Hosted Meeting Participant of a Hosted Program of an online ("Event") you agree to be bound by these terms and conditions, which form a legal contract between us and you (collectively, the "Agreement"). These terms and conditions are applicable to events produced by either by Inspired Minds Media Limited or the World Summit AI and should be read according to whichever is the appropriate entity. This Agreement may be modified from time to time, so check back often. So that you are aware changes have been made, we will adjust the “Last Revised” date at the beginning of this document. Continued attendance at the Event by you will constitute your acceptance of any changes or revisions to this Agreement. 1. With the Hosted Program (as appropriate depending on the Event) will arrange a series of 15-minute meetings ("Hosted Meetings") between Hosted Attendees and Hosted Meeting Participants. All Hosted Meetings will take place during Meeting Times. Notwithstanding the number of meetings purchased by any given Hosted Meeting Participant or in aggregate by all Hosted Meeting Participants.
a. "Hosted Attendees" are those qualifying individuals who identify as buyers or influencers of the purchase of technology and other solutions for their organizations, and who also agree to take up to four (4) 15-minute Hosted Meetings b. "Hosted Meeting Participants" are those individuals who enrolled in the Hosted Program pursuant to a fully executed letter agreement between their organization and either by Inspired Minds Media Limited or the World Summit AI as part of transitioning a sponsorship from an in-person event ("Transition Letter Agreement") or directly purchased Hosted Meetings. A single organization may have multiple Hosted Meeting c. "Meeting Times" are predetermined time slots during which Hosted Meetings take place. Inspired Minds Media Limited or the World Summit AI will notify Hosted Meeting Participants of the specific times of their meetings within Meeting Times prior to the start of the Event. A failure on the part of Hosted Meeting Participants to be available for all Meeting Times may limit the ability to arrange Hosted Meetings for those Hosted Meeting Participants. 2. Hosted Meeting Participants must provide relevant information and respond to Inspired Minds Media Limited or the World Summit AI Shoptalk by the stated deadlines as set including but not limited to completing their profiles, which includes information about their organizations ("Profiles"). 3. Hosted Meeting Participants must: a. Be available during Meeting Times. Add Hosted Meetings to their calendars Join Hosted Meetings via video at the times designated Prepare for the Hosted Meetings assuming that Hosted Retailer & Brand Attendees have not prepared in advance. 4. Inspired Minds Media Limited or the World Summit AI in their sole discretion determines the eligibility of any Hosted Meeting Participant to be accepted into the Hosted Program.

We make sure that not only do we have appropriate security measures in place, but that any other organisation we work with to provide a service also meets the same standard as us. We will respect your privacy. You should receive marketing emails only from us and, if you agree, from other organisations we have carefully chosen. We will make sure that the boxes you need to tick, if you are happy to receive marketing emails, are presented clearly and at an appropriate time. We will make it clear at the point when we request your information, what we are collecting it for and how we are going to use it. We will collect and use your personal information only if we have your permission or we have sensible business reasons for doing so, such as collecting enough information to manage your subscriptions or process your event registration.

We invite you to read this Privacy Policy, which explains the types of information collected and created in connection with the relevant Conference, how and why we use such information, who we share it with and your legal rights.
Unless indicated otherwise, this Privacy Policy relates to our use of any personal information we collect or use in relation to the following services (collectively, the “Services”):

– the Conference websites and their related subdomains including those pertaining to registration for attendance at the Conference and to be a volunteer at the Conference;
– the Conference apps;
– online surveys relating to the Conference;
– messages sent via the Conference support portal;
– the Conference official social media channels; and
– subscription to our newsletters.

2.1 Directly from you, or approved third parties. We collect a variety of information from you when you provide it to us directly, when we request it from you, or when you give us permission to get it from a third party source.
– Attendee registration information. When you register to attend a Conference, you must provide us with basic information such as Title, Name, Country of residence, Phone number, Company Type, Company Size and Sector. We also give you the option to provide additional information.
– Volunteer registration information. When you register to volunteer at a Conference, you must provide us with basic information such as Title, Name, Country of residence, Phone number, Company Type, Company Size and Sector. We also give you the option to provide additional information.
– Payment and credit card information. When purchasing tickets to attend a Conference, you must provide us with your name, address, telephone number, email address, credit card, debit card or bank information. This information will only be shared with third parties such as our ticketing partner, Ti.to, or Stripe or Paypal, who perform tasks required to complete the purchase transaction.
– Conference app profile information. You have the option to download a Conference app, providing us with additional profile information in the Conference app, such as name, email address and photo, which will be discoverable within the app by other attendees and partners of the Conference.
– Conference survey responses. We may ask you to participate in optional surveys regarding your experience at the Conference in order to help us improve the event and for related commercial purposes.
– Third party social media accounts. If you choose to connect your social media account(s) with the Conference app, we may receive certain information from that account, such as your title, picture, and other information you authorize.
2.2 From your browser or device. We automatically collect certain information from your browser or device when you use certain Services or read a message from us. For example, we collect data regarding the device you are using, such as its unique identifier and operating system; logs will be recorded by our servers based on the information sent from your app or browser; and information may be recorded by cookies and similar technologies when you use the Services. Please review our cookie policy for further detail on how we use cookies and similar technologies on our Services.
3.1 Providing and improving the requested Services. We use your personal information as necessary to run the Conference, such as to register attendees, issue tickets, facilitate information sharing with partners with whom you have consented for us to share information, and provide you with relevant connections and content during the Conference based on this information and your use of the Conference app.
3.2 Communicating with you. We use your personal information to contact you regarding your registration to attend, volunteer or speak at a Conference or sponsor or exhibit, to notify you of any changes to our policies and practices, for commercial, sales or investment purposes, and to respond to any requests or inquiries you may submit to us. If you subscribe to our mailing list, we will use your information as described below.
3.3 Marketing. If you opt-in to receiving marketing communications from us, we will use your personal information for outreach and marketing, such as to send you information about our future Conferences or to exhibit or sponsor. You can opt-out of these communications by using the unsubscribe links in our communications or by changing your Conference app settings.
3.4 Advertising. We use your personal information to be able to show you advertising on other websites. Please also review our cookie policy for your options to control how we use cookies and similar technologies for advertising.
– when necessary to perform the Terms and Conditions or to provide you with the Services;
– where you have consented to the processing, which you may revoke at any time;
– when necessary for us to comply with a legal obligation, a court order, or to exercise and defend legal claims;

We use your information as it is necessary to pursue our legitimate interests, or those of our attendees, our volunteers or our partners in ensuring the Conference is a safe and secure event, such as enforcing our Terms and Conditions. We also act in the legitimate interests of these parties with respect to our Conference website, app and other Services, such as by implementing and enhancing security measures and protections and protecting against fraud, spam and abuse.
– Provide, develop and improve the Services. We process your information as necessary to pursue our legitimate interests in improving the Conference and our other Services, such as our Conference websites and apps. For example, we use your information in order to conduct access control and enforce security at the Conferences. We also use your information to conduct data analysis and analytics across our Services
– Market the Services. We process your information in accordance with our legitimate interests of marketing the Conference and the Services to you. For example, we use your information to market future Conferences to you. We also use photos and audiovisual footage from past Conferences which may contain your image or voice. If we share your information within our corporate group we will ensure that your information continues to be used only in accordance with this Privacy Policy and your expressed choices, and in accordance with applicable law.
6.1 Sharing with other attendees. Our Services, such as the Conference app, provides attendees with the means of making connections with other attendees. For example, the profile information that you choose to provide us will be accessible to other attendees of the Conference, subject to your settings. QR code scanning functionality on your badge is activated by default. You can provide your information to other attendees and partners by allowing them to scan the QR code on your attendee badge. Once this happens, you may consent to the sharing of your contact information with these individuals and companies.
6.2 Sharing with exhibitors, speakers, sponsors or connected parties. By registering or participating in Sessions that are sponsored or hosted by a third party You consent to the disclosure of Your personal data to such External Session Provider, including Your name, mobile number, email address, company, and job title. Some External Session Providers are located outside of the European Economic Area (EEA) or Switzerland. By authorising disclosure to them You consent to the transfer of Your personal data to such locations. If You wish to exercise any data protection rights with regards to how an External Session Provider processes or uses Your personal data, You must do so directly with such External Session Provider. Additionally, exhibitors, sponsors, partners or other third parties participating at the Event may wish to contact you to facilitate networking and business relationships at the Event or to contact You post-Event. You understand that Your attendee badge holds secure data related to You including Your name, mobile number, email, company, and job title. If If You wish to withdraw consent or to exercise any data protection rights with regard to how such recipients process and use Your personal data, You must do so directly with such recipients.
6.3 Marketing. In order to further our legitimate interests in marketing the Services, we rely on third-party marketing platforms and service providers to assist us and perform certain marketing services for us.
6.4 Advertising. We share your personal information with common advertising platforms such as Facebook, Google and LinkedIn to show you advertising when you use those services.
