Statement

The data we collect will be used to arrange and manage the Greystones Summer Project (GSP). We will also use data collected to ensure the safety and security of each attendee of the GSP.

Summary

While the Greystones Summer Project is mostly about fun and games and having a great there are some ground rules that are needed to make sure that everybody enjoys the Project fully.

For Parents

  • Only children registered with the GSP can come to GSP sessions.
  • Registrations and tour places are not transferable between children.
  • Tour departures times are strictly adhered to, please be on time.
  • No refunds will be given for non-attendance at any GSP session.
  • If bookings or registrations need to be cancelled, refunded or amended, the GSP reserves the right to refund the difference in cost, minus the payment processing fees incurred.
  • Cancellations prior to the GSP week are through committee members only.

For Children

  • Children must respect other children, leaders and volunteers, and property.
  • Children must always behave in a way that does not cause inconvenience to local residents.
  • Children who are deemed to have bullied another child, or have generally misbehaved, will be asked to leave the GSP immediately.
  • Smoking is not allowed at GSP sessions.
  • Chewing gum is not allowed at GSP sessions.
  • Do not bring valuable items to GSP sessions.
  • Do not litter – help keep Greystones tidy.
  • Do not invite unregistered children to any GSP session.

The GSP Committee:

  • Reserves the right to cancel any activity.
  • Reserves the right to cancel a participant’s registration at any time.
  • Is not responsible for any personal items that are lost during GSP sessions.
  • Is not responsible for any photographs placed on social media sites by participants.

What information we collect and why

We do not knowingly collect or store any data provided by Children under the age of 13.

We use your personal information and the personal information of the GSP attendees to ensure the safe running of the project. This personal information includes but is not limited to, name, date of birth, illnesses/allergies and contact details.

If we do collect any sensitive personal information, we will restrict access to, and use of this. We must have a lawful basis to collect and use personal information, these reasons are outlined below:

To protect the vital interests of the GSP attendees and Junior Leaders (Child).

  • Contact information of the Child’s parent/guardian.
  • Personal information of the Child (name, date of birth)
  • Details of the Child’s illnesses/allergies, if any, in order to safely administer First Aid
  • Emergency Contact details, if not the parent/guardian.

As required by law:

  • Information will be collected, stored and reported in line with all relevant regulation including the Children’s First Act 2015.
  • If the GSP is held on a site that records CCTV footage for safety and security reasons, the GSP will not have access to or oversight of these recordings.

With your consent

  • You need to give consent for us to collect and use personal information for certain uses. You are given the choice to provide consent, or not. When we collect your consent, we will explain what we need it for and how you can change your mind in the future.

Consent and how to withdraw consent? If we process your personal information based on consent, you have the right to withdraw that consent at any time. This can be done by contacting us at inforequests@gsp.ie.

Who do we pass your personal information to? We do not share your data with anyone outside of the GSP for any reason other than the health and safety of the Child. In the event of an emergency, your Child’s medical information which we hold on file will be provided to the paramedics that attend to the Child. Information may be collected, retained and reported in line with the Children First Act 2015.

Do we transfer it outside of the EU? No, your personal information is processed and stored within the EU.

How long do we keep it for? All data collected will be retained for the duration of the Greystones Summer Project. Some data may need to be retained for longer periods of time in order to us to meet our requirements under Child Protection Legislation. All registration data will be deleted no later than two years after it is obtained.

What are your rights? You have a number of rights over your personal information which you can exercise free of charge by contacting us at inforequest@gsp.ie You will need to give us information to help us identify you and we will respond to you within one month. Any restrictions to your rights will be explained in our response.

  • We have controls in place to protect your personal information and minimise the risk of security breaches, however if any breaches occur we will inform you without delay.
  • You can restrict or object to any unfair and unlawful collection or use of your personal information.
  • Where you have previously provided consent, you can withdraw it at any time.
  • You can ask us to correct and update personal information we hold about you.
  • You can have your personal information deleted if it is incorrect or has been processed unfairly or unlawfully.
  • If you have withdrawn consent you can ask for your personal information to be deleted.
  • If we have used any information in line with Child Protection Legislation, this will be retained as required by law.
  • You have the right to know what personal information we hold about you and to receive a copy of your personal information.
