At Front Line Genomics, we take your privacy very seriously. We will process and use the information on the registration form on the basis of legitimate interest to contact you and provide you with relevant details about this event and future editions of this and other similar events/products that we think may be of interest to you. We will only ever use the information we collect or receive about you in accordance with our Privacy Policy. We are able to offer free tickets to over 90% of our audience because of the kind support of our sponsors and exhibitors. To keep the event free of charge, we share your contact details that you submit during the registration process with our sponsors and exhibitors when you satisfy a criteria of "active engagement" eg by watching a sponsored talk/ stream of talks or by visiting a booth or a sponsored activity. By consenting to our policy you are allowing our sponsors and exhibitors to contact you provided you meet the criteria of "active engagement". You can unsubscribe from being contacted by ourselves or any sponsors or exhibitors at any time. If you do not wish to be informed about our future events and products or you do not wish to have your details shared with a specific sponsor or exhibitor(s) please email richard@frontlinegenomics.com.By placing this order I also agree to the organizer's terms.

Summary

We’ve tried our best to make sure everything in our terms and conditions is as clear as possible. In particular, we’ve tried to avoid any ‘legal speak’ to be open and transparent about what things actually mean. The good news is there’s nothing in here that shouldn’t already be common sense or make good sense. Throughout our T&C’s we use a few words we want to be crystal clear about: We/Us/Our – This means Front Line Genomics Limited, registered in the United Kingdom as Company Number 10421716, Ground Floor, Cromwell House, 15 Andover Road, Winchester, Hampshire SO23 7BT Site/ Website – www.frontlinegenomics.com You/Your – This means the person engaging with us, registering for our events or services, or visiting our website. Unless otherwise stated, you mean you!

Information We Collect Broadly speaking the kinds of information we handle about you falls into one of the following three categories: Information you give us – This might be through download forms, registrations forms, subscription sign up forms, and information that you have volunteered over the phone or e-mail. It is information that you have freely consented to give us that is relevant to whichever service or event you have registered for. Information we collect about you – When you visit our website, we collect functional information to help us monitor the performance of our content and services. This may include your IP address, geographical location, device type, browser type, referral source, length of visit, operating system, and what you have engaged with. This information is collected on our behalf using website analytics services, and/or cookies. We also use cookies and pixels in our e-mails to track delivery, open rates, and other measurable information. We’ll talk a little bit more about cookies in section 6. Information we receive from third parties – We work with some third parties to help deliver some services. Like our websites, or registration platforms for our events. These parties collect information from you on our behalf.
  3. How We Use Your Information Whenever you supply us with any personal information, we will always let you know exactly what it is going to be used for. Not only does this help maintain transparency and trust, but it helps keep you in control of your information. There are a lot of uses for information that might come up, but this just about covers most of them!

We use personal data to: Provide you with information that you have requested from us, in relation to events and publications we run, or other services we provide (for example online webinars and e-newsletters).

For general administration and organisation of our events, for example, to contact you with information about an event or conference that you’re exhibiting at, or attending.

To keep in contact with you about other similar events or services of ours that may be of interest to you, or for research purposes after an event you have attended.

Pass on your contact details to our logistics partners to enhance your experience at an event you have signed up to exhibit or sponsor at.

To assess the activity of our attendees at our events.

Analyse user traffic to measure use of our websites and improve their content. To comply with or abide by legal obligations or requirements.

The purpose of this is: We will need to use your contact details to keep you updated about the products or services you have indicated you are interested in.

We will need to use your details for planning and logistics, to invoice you, to provide you customer service in relation to the event, and general administration of your attendance at the event.

To keep you up to date on similar events or services you have previously purchased from us in the past. To analyse the effectiveness of our products and offerings to you.

We engage logistic partners in order to enhance your experience at our events, such as engaging stand builders, electricity providers, carpeting, furniture, WIFI providers etc. We assess how people move around and engage with our events. We do this using any apps you have activated or signed up to, and where you allow your badge to be scanned by staff at our events. We use this information for analytics, and to improve and enhance our events.

We may use information such as your IP address for analytical purposes of our pages, this could also include improving the content of our websites and services. We may need to use or process your personal data to comply with some legal requirements, an example being health and safety or fire safety at an event.

The applicable legal basis: By specifically requesting information from us, you are consenting to us using your personal data for the purposes of communicating such information to you.

Where you have registered to attend or exhibit at an event, we need to use your personal data in this way to perform our contractual obligations to you. Where you are attending an event but do not have a contract with us (for example you received free tickets), it is our legitimate interest to use your personal data for general administration and logistics of the event.

It is our legitimate interest to keep you up to date on similar events of ours you have attended our exhibited at in the past. Where we rely on legitimate interests in this way, we will always offer an opt-out, and unsubscribe option on any marketing information we send you.

Where we need to share these details with such logistic partners in order to perform the contract we have with you, the legal basis would be the performance of a contract.

In other circumstances, we have a legitimate interest to provide the details to our partners, because these services are required for a seamless exhibition experience, and it is in your interest to be provided with this information. If you prefer us not to share these details with our logistics partners, you can us indicate using the opt-out box when you register your details, or let us know during the contracting process.

It is our legitimate interest to monitor the location and engagement of our attendees at our events.

We have identified web analytics as a legitimate interest of our business, and allow us to better meet your needs as a customer.

Where we need to process your data for these reasons, the legal basis will be compliance with a legal obligation.

  1. Who We Share Your Data With Transfer your contact details to an Exhibitor or Sponsor – The purposes for which exhibitors or sponsors will use your personal data will be communicated to you by the exhibitor or sponsor, when they make initial contact with you. When you hand your badge to an exhibitor for them to scan you, you are consenting to your Personal Data being passed to the exhibitor or sponsor. If you do not wish for your information to be passed on, please do not scan your badge. If you download content from our website, or register for a webinar, or other form of digital content, you will be asked to consent to have your information shared with the sponsor. The only way we can produce this report and distribute it for free is with the help of our sponsors. Therefore, we make your details available to all relevant sponsors for each report. This is in our and our sponsors’ legitimate interests – it allows us to attract the most appropriate sponsors to ensure the reports remain free to download (in line with our social mission). It also facilitates business-to-business communication for our sponsors so they may contact you about their products and services. We will also keep in contact with you about future editions of this and other similar events/products which may be of interest to you – you can unsubscribe at any time. Transfer your information to third parties we work with – where we engage with sub-contractors and service providers to help us fulfil the services we promise you (like our registration systems, webinar platforms, and mailing house) we will often have to share information about you for specific operations (like posting you a copy of our magazine). Third parties are subject to the same data protection laws and regulations we are. We only contract reputable service providers, and take reasonable steps to ensure that they are consistent and compliant with our own privacy policy.
  2. Cookies Just like most websites out there, we use cookies to help you get the most out of our site, and to help us make the site better for you. Cookies are small text files that are stored on your device and track your stay on the website. They also perform important functions like making sure that you don’t have to repeatedly log in, and make filling in registration forms a much easier process. Not everyone wants cookies though.   3. Other Websites Some of our content might point you to a website other than our own. Our privacy policy doesn’t extend to those sites, but we do make an effort not to lead you into danger. That being said, you should still take a look at the privacy policy of any website you visit and satisfy yourself that your privacy is protected.

  4. How We Protect Your Data and How Long We Keep It For We take every sensible precaution to keep all of your information safe. Information on us as individuals is in there as well, so we treat your information as if it were our own because our own is in there too! If you haven’t engaged with us in any way for four years, we will accept that our relationship has come to end and we will delete your information. The only reason we will keep it is if we are obligated to do so for any legal purposes.

  5. Know Your Rights If you’ve made it this far, hopefully, you know how serious we are about your data. We do still want to be clear on what your rights are when it comes to information about you. You have the right to: Request a copy of the data we have about you, by making a written request to the Data Protection Officer. Contact the Data Protection Officer to correct data we have about you. Contact the Data Protection Officer to withdraw consent (opt-out) at any time for any of our services. Contact the Data Protection Officer to request we delete all data we have about you. Hopefully, it will never come to this, but if you believe we have not complied with any applicable data protection law you can lodge a complaint with the relevant authority. Here in the UK, that would be the Information Commissioners Office (ico.org.uk). While there is absolutely no obligation to do so, we would much rather you contact us directly so we can fix any mistakes.

In this Privacy Policy: ‘we’, ‘us’ or ‘our’ means the Front Line Genomics Ltd entity with which you are interacting. For example, the entity organising the event you are attending, or managing the website you are using. We will make it clear to you which entity this is; ‘the site’ means the Tri-Omics website you are visiting or engaging with; and ‘you’ and ‘your’ means you, the person engaging with us, registering for our events or services or visiting our site. By registering for this event, you consent to our processing of your personal data in accordance with this Privacy Policy.

INFORMATION WE MAY COLLECT ABOUT YOU Information you give us: We collect any information you provide to us when you complete registration forms, or provide us with your details over the phone , for example when you register an account with us, register to attend our event or subscribe to our mailing list. This information might include your name, address, email address, phone number and other information relevant to the event or service that you’re registering for. Information we collect about you: We will collect any information contained in any correspondence between you and us via contact forms on websites, and emails or telephone calls. We may collect, for the purposes of any events that we operate badged access for, information about your location in and engagement with the event. For example, for certain events, access will be granted via a badge which holds your registration details including personal information. You will be required to use your badge to gain access to the event. In this situation, we will collect information about when you enter the event and which sponsors you have engaged with. We may collect information about you visiting our website and how you use it. This may include your IP address, geographical location, device information, browser type, referral source, length of visit, operating system, number of page views and similar information. This information may be collected by a third party website analytics service provider on our behalf and/or may be collected using cookies. For more information on cookies please refer to paragraph 6 below. Information we receive from third parties: We may collect information about you from third parties that we work closely with for the purposes of delivering to you the services that you request from us. For example, we may engage third parties to assist us with our online event registration systems or payment systems; these entities will collect information directly from you on our behalf. We may engage third parties to operate event websites on our behalf; these entities will collect information directly from you about your visits to the website on our behalf. We may also receive information about you from third parties where you have consented to such third party sharing your information with us.

HOW WE USE INFORMATION ABOUT YOU You agree that we may use your information for the following purposes: to provide you with services or information that you have requested from us such as attendance at one of our events; to contact you with information about an event that you’re attending. to keep in contact with you about other events or services of ours that we believe may interest you. WHO WE MIGHT SHARE YOUR INFORMATION WITH You agree that we can share your personal information with: selected third parties that we work with, where necessary for the purposes of delivering to you services that you request from us. For example, when you register to attend an event that we host, we may need to share your information with third party sub-contractors or service providers any selected third party that you consent to our sharing your information with for marketing purposes; any other third parties where necessary to enable us to enforce our legal rights, or to protect the rights, property or safety of our employees or where such disclosure may be permitted or required by law. 5.1 SPONSORS AND EXHIBITORS Information about how we may share your data with our exhibitors. We may share your data to facilitate networking and the setting up of 121 meetings at the Tri-Omics Summit. Registrants will be issued with a bar coded name badge on entry to the event. Exhibitors may have bar code readers. We will share your registration and contact details with sponsors and exhibitors with your consent. You can demonstrate your consent by scanning your badge at an exhibitor's stand. Allowing your badge to be scanned is akin to handing over a business card. If you scan an exhibitor's code reader, that exhibitor may contact you about their products and services.

  5. COOKIES We use cookies to ensure that you get the most out of our site. Cookies are small text files which we store on the device you use to access the site. Cookies allow us to monitor your use of the software and simplify your use of the site. For example, a temporary cookie is also used to keep track of your “session”. Without that temporary cookie (which is not stored after you quit your browser) you would have to log on every time you access a new page. If you do not wish for cookies to be installed on your device, you can change the settings on your browser or device to reject cookies. Please consult the terms and conditions and Privacy Policy of the relevant third party website to find out how that site collects and uses your information and to establish whether and for what purpose they use cookies.

  7. HOW WE LOOK AFTER YOUR INFORMATION AND HOW LONG WE KEEP IT FOR

We use appropriate technological and operational security measures to protect your information against any unauthorised access to or unlawful use. We will retain your information for as long as is necessary to provide you with the services that you have requested from us or for as long as the law otherwise permits. Transmission of information over the internet can be insecure, and although we employ measures to protect your information from unauthorised access, you acknowledge that we cannot always guarantee the security of information sent over the internet.

  1. WHERE WE STORE YOUR INFORMATION Our servers are situated in inside the European Economic Area (EEA) and all of the information that we collect about you will be stored on these servers. In certain circumstances your information may be processed outside of the EEA such as when we engage third parties based outside of the EEA to assist us with the services that you have requested from us. In such circumstances, we will take all steps necessary to ensure that any of your information is adequately protected and processed in accordance with this Privacy Policy. You consent to this transfer and processing of your information.

YOUR RIGHTS TO THE INFORMATION WE HOLD ABOUT YOU You have the right to see the personal data that we keep about you, by making a request in writing to the Data Protection Officer (details provided above at Paragraph 2) and payment of a £10 fee. You can also contact us using the details above at Paragraph 2 If you are concerned that any of the information we hold on you is incorrect.

  3. CHANGES TO THIS PRIVACY POLICY 11.1 We reserve the right to update this Privacy Policy from time to time.
