AALTOES CODE OF CONDUCT

All Aaltoes events are free from all intimidating and disrespectful behaviour. When attending Aaltoes events, every attendee agrees to respect everyone regardless of their appearance, gender, race, religion, age, sexual orientation, disability or other similar aspects.

Behaviour we don’t tolerate is for example (but not limited to): 1) Verbal, disrespectful comments towards any attendee or organiser; 2) Intimidating behaviour or violence towards any attendee or organiser; 3) Inappropriate physical contact towards any attendee or organiser.

By attending events organised by Aaltoes, you agree to obey these rules. In case the code of conduct is being violated by an attendee, Aaltoes has the right to remove this person from the event immediately and deny their access to any upcoming events.

GENERAL TERMS

FallUp, among other Aaltoes events, is organized by Aalto Entrepreneurship Society ry (Finnish business ID 2291638-6), a Finnish non-profit society whose main purpose is to promote entrepreneurship and help early-stage startup entrepreneurs. Hereafter Aalto Entrepreneurship Society ry will be referred to as “Aaltoes”. This document sets the terms and conditions between Aaltoes and You when you purchase a ticket to yourself or to some other individual, sign a partner agreement, use any of our platforms or attend the events or programs organized by Aaltoes. By purchasing a ticket or registering for an event or program organized by Aaltoes, You are agreeing to comply with and be bound by these terms and conditions. You should read this document carefully. Aaltoes reserves the right to change these terms and conditions at any time. You can find the updated version always on aaltoes.com website.

REFUND AND CANCELLATION

All purchases of tickets to Aaltoes events and programs are non-refundable in their entirety. However, it is possible to allocate the ticket to a third party if the ticket has been fully paid. Yet, it is not possible to change the person or organization liable for the payment. The tickets purchased are for your own personal use or that of your business only and may not be re-sold or transferred for commercial gain under any circumstances. Where there has been any re-sale or attempted re-sale of any tickets (or any other breach of this term), we reserve the right to cancel the relevant tickets with immediate effect without refund. If the event is being cancelled due to unforeseen circumstances (force majeure), ticket holders will be refunded the price of the ticket against a valid receipt. Aaltoes does not hold itself liable for any other expenses incurred. Aaltoes strives to notify its customers of force majeure cases as quickly as possible.

EVENT CANCELLATION, POSTPONEMENT AND SUBSTITUTION

Aaltoes is not responsible for any loss or damage of any kind incurred as a result of substitution, alteration, cancellation or postponement of an event or program that it organizes. In the event of an unexpected incident independent of Aaltoes, Aaltoes reserves the right to make changes to the date and time for all parts of the event at least one week prior to the event’s / program’s starting date. In the case of rescheduling of an event or a program, the participant’s ticket may be returned by a deadline determined by Aaltoes; however, preferably immediately after the announcement of the new event date / program’s starting date. After the deadline has expired, Aaltoes will not receive any claims for reimbursement. Aaltoes reserves the right to make changes to the events / programs at a date less than one week before the event / program’s starting date if there is a justified reason such as an unexpected problem with the location or a speaker is prevented from participating. Please note that while speakers and topics are confirmed at the time of publishing, circumstances beyond the control of the organizers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, Aaltoes reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.

LIABILITY

Aaltoes will not be liable for any loss, injury or damage to any person or property howsoever caused before, after or during the events or conferences. Aaltoes is not responsible for any tickets that are lost or stolen. Each participant must make provision for his or her own insurance. You consent to film and sound recording as attendees at any event or program. Aaltoes reserves the right to refuse admission to any event or program for any behavior, which it deems unacceptable, or for breach of these terms and conditions or Aaltoes Code of Conduct.

DATA COLLECTION

At Aaltoes, we are committed to ensure the appropriate handling and protection of your personal data and privacy in accordance with EU’s General Data Protection Regulation 2018 (GDPR). You agree that Aaltoes may collect, use, amend, store, destroy and/or disclose your personal data, as provided in this form, or (if applicable) obtained by our organisation as a result of your participation, to register you to our events / programs, to organise our events / programs, to provide you with information on our future events / programs, and to develop our events / programs and our other operations. In some cases, we may ask your consent to some other type of processing. In such case, we will inform you of the respective purposes of processing when requesting the consent and such processing is conducted only subject to the receipt of appropriate consent. We process personal data only on the basis of the commercial agreement between you and us (GDPR Art. 6.1(b)), our legitimate interests that arise when you register for an event / a program organised by us (GDPR Art. 6.1(f)), and to comply with the legal obligations applicable to us (GDPR art. 6(c)), such as accounting and consumer protection.

We may disclose personal data to our cooperation partners to organise our events/programs and to promote cooperation that enables the events/programs, in which case such disclosures may also be based on the legitimate interest of our cooperation partners. We guarantee that your right to privacy is not endangered by such disclosures. Your data may be disclosed to authorities if required by applicable law.

1 The controller

2 Processing of personal data

We process only personal data obtained from you directly or via a person who enrols you on your behalf. The personal data comprises of the information given when registering to / purchasing a ticket to a meetup. We process your personal data to register you to the meetup, to organise the meetup, to provide you with information on our future meetups, and to develop the meetups and our other operations. We process your personal data on the basis of the commercial agreement between you and us (GDPR Art. 6.1(b)), our legitimate interests that arise when you register for a meetup organised by us (GDPR Art. 6.1(f)), and to comply with the legal obligations applicable to us (GDPR art. 6(c)), such as accounting and consumer protection. In some cases, we may ask your consent to some other type of processing. In such case, we will inform you of the respective purposes of processing when requesting the consent and such processing is conducted only subject to the receipt of appropriate consent. To ensure successful event we also provide your data to third parties, such as Deal Room Matchmaking Tool.

3 Retention period

We mainly retain your data for the period required to organise the meetup. After the meetup, your data is used to the extent required for the other purposes defined above, and anonymised or deleted without further delay once a basis for retention no longer exists. Your contact details may be retained and used for marketing purposes, unless you object to such use. We evaluate the necessity and accuracy of the personal data on a regular basis.

4 Recipients of personal data

We may disclose personal data to our cooperation partners to organise the meetups and to promote cooperation that enables the meetups, in which case such disclosures may also be based on the legitimate interest of our cooperation partners. We guarantee that your right to privacy is not endangered by such disclosures. Your data may be disclosed to authorities if required by applicable law.

5 Your rights as a data subject

You have a right: • to request access to and rectification or erasure of your personal data; • to request that the processing of your personal data is restricted or to object to the processing of your personal data; and • subject to certain preconditions, to receive your personal data in a structured, commonly used and machine-readable format and to transmit that data to another controller.

You may exercise the aforementioned rights by contacting the contact person defined above. Where the processing is based on your consent, you have the right to withdraw your consent at any time. Please notice that this will not affect the lawfulness of processing based on consent before the withdrawal. In case you consider that your rights under the data protection laws are infringed, you may lodge a complaint with a supervisory authority (Finnish Data Protection Ombudsman).
