The data that is collected will be used by the Organizer to plan and manage the event for which you registered, as well as email you relevant details about the event.

Event Terms & Conditions

Summary

Tickets are personal and non-transferable, valid for one person on September 18–19, 2025. Refunds are allowed until July 20, 2025, with a 10% fee. After that, tickets are non-refundable but can be transferred to another person upon request. Price changes may occur before purchase; purchased ticket prices are honored. Entry requires your e-ticket and photo ID. A badge must be worn visibly at all times; report loss immediately. The schedule may change without notice; organizers aren’t responsible for speaker or agenda changes. All participants must follow the Code of Conduct; violations may lead to expulsion or bans. By attending, you consent to use of your image in event media; opt-out stickers are available at check-in. Organizers are not liable for lost or stolen items. No insurance is provided; international participants should arrange their own coverage.

By purchasing a ticket for EuRuKo 2025, you agree to comply with the following terms and conditions:

  1. REGISTRATION AND PAYMENT 1.1. Ticket The ticket for EuRuKo 2025 is personal and non-transferable, except under the conditions defined in section 1.5. Each ticket grants one person access to the event venue on September 18 and 19, 2025.

1.2. Ticket Categories

Early Bird: Available for a limited time for early buyers Regular: Standard price after the Early Bird phase ends Late: Price after the Regular phase ends 1.3. Purchase Process When making a purchase, you must provide accurate and complete information. Providing false or incomplete information may result in ticket cancellation without a refund.

1.4. Confirmation and Receipt After completing your purchase, you will receive a confirmation email with transaction details and your electronic ticket. This email serves as your official purchase receipt.

1.5. Refund and Transfer Policy Refunds can be requested up to 60 days before the event (by July 20, 2025), subject to a 10% administrative fee. After July 20, 2025, refunds will not be available, but ticket transfers to another person will be allowed. To transfer a ticket, the original holder must email organisers@euruko.org with the new person's full details. In exceptional cases (serious illness, immediate family death), the organizers may consider refunds after the deadline, upon valid proof.

1.6. Price Changes Organizers reserve the right to change ticket prices at any time before purchase. Once purchased, the paid amount will be honored regardless of future changes.

  1. EVENT ACCESS AND PARTICIPATION 2.1. Identification To enter the event, you must present your electronic ticket (printed or on your phone) and a photo ID to verify your identity.

2.2. Badge Upon check-in, you will receive a badge that must be worn visibly at all times while at the event venue. Lost badges must be reported to the organizers immediately.

2.3. Schedule and Programming The schedule is subject to change without prior notice. The organizers are not responsible for changes in the agenda, speaker cancellations, or substitutions.

2.4. Internet Access Free Wi-Fi will be available during the event. However, the organizers do not guarantee connection stability or speed and recommend that participants have alternative connectivity plans for critical needs.

2.5. Catering Coffee breaks included in the schedule are covered by the ticket. Participants with dietary restrictions must inform the organizers of their specific needs at least 30 days before the event via organisers@euruko.org.

  1. CODE OF CONDUCT 3.1. Expected Behavior All participants, speakers, sponsors, and volunteers must comply with the event’s Code of Conduct.

3.2. Consequences of Misconduct Behavior violating the Code of Conduct may result, at the organizers’ discretion, in a verbal warning, expulsion from the event without a refund, or, in serious cases, a ban from future editions and notification of appropriate authorities.

3.3. Reporting Incidents can be reported to designated event staff (identified by specific badges) or via email to organisers@euruko.org.

  1. IMAGE RIGHTS AND INTELLECTUAL PROPERTY 4.1. Image Use By attending EuRuKo 2025, you authorize the use of your image in event photos and videos for promotional purposes on websites, social media, and related materials, without additional permission or financial compensation.

4.2. Opt-Out from Recordings Participants who do not wish to be filmed or photographed must request a special badge sticker at check-in. The organization will make efforts to honor this request but cannot guarantee exclusion from wide-angle shots or images captured by others.

4.3. Recording and Streaming Talks and workshops will be recorded and may be streamed live. This content will be publicly available after the event. By submitting and presenting a talk, speakers agree to this policy.

4.4. Presented Materials Content presented by speakers remains the intellectual property of the respective authors. EuRuKo 2025 retains non-exclusive rights to publish slides and related materials on the event website, with appropriate attribution.

  1. RESPONSIBILITIES AND LIMITATIONS 5.1. Personal Belongings Organizers are not responsible for the loss, theft, or damage of personal items during the event. Participants are advised to keep their belongings secure.

5.2. Insurance Registration does not include any type of insurance for participants. International attendees are advised to purchase appropriate travel insurance.
