These regulations constitute the set of rules governing the participation in and conduct of the Codemotion Conference - Milan 2024 (hereinafter the “Event”), organised by Codemotion SpA. with registered office at via Marsala 29/H, Rome, and VAT number & Tax ID 12392791005 (hereinafter “Codemotion” or the “Organiser”). The regulations constitute the contract between Codemotion and the Participant - that is, the natural person who participates in the Event, having acquired an Admission Ticket as indicated on the website www.codemotion.com (hereinafter the "Site"). The purchase of Admission Tickets to the Event is reserved for adults.
Regulations for participation in Codemotion Conference - Milan 2024
Preamble These regulations constitute the set of rules governing the participation in and conduct of the Codemotion Conference - Milan 2024 (hereinafter the “Event”), organised by Codemotion SpA with registered office at via Marsala 29/H, Rome, and VAT number & Tax ID 12392791005 (hereinafter “Codemotion” or the “Organiser”). The regulations constitute the contract between Codemotion and the Participant - that is, the natural person who participates in the Event, having acquired an Admission Ticket as indicated on the website www.codemotion.com (hereinafter the "Site"). The purchase of Admission Tickets to the Event is reserved for adults.
Purpose The Event will take place at Stella Polare Congress Center at Milano Fiera - Milan, Italy 22/10/2024 to 23/10/2024. Some stages of the Event may be made available for direct streaming – either free of charge or in exchange for payment – on channels specified by the Organiser. Any further information relating to the Event, as well as any changes to the programme, will be disclosed through publication on the Site in the area dedicated to the Event.
Admission Tickets Premium Admission Tickets can be purchased through Tito, in accordance with the terms and conditions of their service. Tito's privacy policy can be reviewed at: Tito Privacy Policy that integrates Stripe as payment platform. Stripe’s terms of service and privacy policy can be reviewed at: Terms and Conditions of Service | Privacy Policy The prices of Admission Tickets are available here. For all kinds of tickets, admission Tickets are issued in the name of the Participant. The name on the admission ticket may be changed up to seven days prior to the Event, in accordance with the terms and costs set forth on the event website. All Admission Tickets are intended for personal use only and may not be resold or transferred to third parties under any circumstances, without prejudice to the possibility of changing the name in the manner indicated within this article. In the event of the resale or attempted resale of an Admission Ticket (or any other violation of these Regulations), Codemotion reserves the right to invalidate the Admission Ticket with immediate effect. Furthermore, any other use of the Admission Tickets including (but not limited to) their use as a reward for any promotion or competition is forbidden, except for individual initiatives organised or approved by the Organiser.
Onsite participation Participants must have a valid Admission Ticket in their name in order to gain access to the Event. Admission tickets constitute valid entry credentials solely for the Event for which they have been issued, on the date and at the time indicated. When entering the Event, the QR code of each Participant contained in their check-in email shall be scanned and they shall be given a personal badge containing registration information and a QR code which, in addition to guaranteeing the use of services, contains personal information such as the Participant’s forename, surname and company name. Should there be reasons for containment or other restrictive measures associated with prevention, in view of current sensitivities, due to the health emergency (e.g. Covid-19), the Organiser reserves the right to change the means of access to the Event, in addition to the number of participants, due to the changing nature of the pandemic, in accordance with the instructions issued by the competent authorities. Should the number of Participants be limited and individual Admission Tickets cancelled, the Organiser shall inform the affected Participants of how to request a reimbursement of the ticket cost or, where possible, the issue of a voucher of an equal amount that may be used to purchase Admission Tickets for future events organised by Codemotion.
Exclusion of the right of withdrawal Codemotion informs Participants that - as the purpose of these Regulations relates to the issue of leisure-related services that the Organiser undertakes to provide on a specific date - pursuant to Article 59(1)(n) of Italian Legislative Decree 206/2005 and its subsequent amendments, the right of withdrawal stipulated under Article 52 of the Italian Consumer Code will not be applied. Participants will therefore not be able to exercise the right of withdrawal in relation to the purchase of Admission Tickets.
Changes to the Event Codemotion is committed to ensuring that the Event programme, the speakers, the topics and the dates are correct at the time of publication. However, circumstances beyond its control may result in substitutions, changes to or cancellations of the speakers and/or topics. Codemotion reserves the right to change the day, time and place where the Event will be held, as well as the names of the speakers and/or the advertised topics, if necessary, without any direct or indirect liability towards the Participant. Any substitutions or changes will be updated on the Site as soon as possible. Any other changes to the Event will be notified via email to those who have already purchased an Admission Ticket. The purchased Admission Ticket shall remain valid for the new Event date unless, for any reason, the Organiser changes the date of the Event, in which case Codemotion will issue a voucher for an amount equal to the price of the purchased Admission Ticket. Once issued, the voucher may only be used online to purchase tickets, including on various platforms, relating to future events scheduled by the Organiser. If, following a change, the date of an Event is postponed by more than 18 months, and the Participant does not request a reimbursement by the deadline communicated, i.e. no later than five days from the communication of the new date, the Participant will be entitled to request the reimbursement of the Admission Ticket from the Organiser, which will be net of the credit card processing and payment fees in addition to any other service fees applied by the Tito purchasing platform. No reimbursement will be due from the Organiser in the case of changes to the Event or if the date of the Event is postponed by less than 18 months. The Participant hereby agrees not to exercise any right to compensation for damages or for any expenses already incurred in relation to their participation in the Event.
Cancellation of the Event – Reimbursements Codemotion reserves the right to cancel the Event in the case of force majeure, or at its sole discretion. In such cases, unless the Participant has requested the reimbursement, Codemotion shall issue a voucher of an amount equal to the price of the Admission Ticket purchased. Once issued, the voucher may only be used online, to purchase tickets, including on various platforms, relating to future events scheduled by the Organiser. Participants hereby agree not to exercise any right to compensation for direct or indirect damages connected with the cancellation of the Event, regardless of the causes or reasons for the cancellation. If the Event is cancelled, the Organiser's liability shall be limited to the purchase price paid for the Admission Ticket, which will be refunded net of credit card processing and payment fees and any other service fees applied by Tito. Limitation of liability Codemotion cannot be held liable for any loss or damages that result - directly or indirectly - from the substitution, modification, postponement or cancellation of the Event, nor for any damages and/or anomalies that may occur and which are beyond the control of the Organiser such as theft, robbery, fire, earthquakes the disruption of services (electricity, internet etc.) and any other incident except in cases in which the damage is directly attributable to the intent or gross negligence of the Organiser.
To this end, each Participant shall use the facilities in which the Event is held, in addition to the equipment provided by the Organiser with maximum care and diligence and shall strictly comply with any instructions, including during the Event, issued by the Organiser in order to ensure the security and safety of all Participants. The Participant must use the spaces in accordance with all instructions and directions from time to time issued by the Organiser in addition to any other applicable regulatory provision, such as security regulations, fire protection regulations, etc. In any event, the Participant must be familiar with and comply with the provisions issued by the Organiser. Should there be any doubt regarding the correct use of the spaces, the Participant must contact the Organiser who reserves the power to prohibit any activities opposing that which is provided for in this article. The Participant moreover declares they are familiar with the event venue and consider it to be a safe and suitable place to conduct the activities of the event.
In no case may the spaces where the Event takes place be used:
● To carry out activities prohibited by law or that are contrary to public order or decency;
● To carry out activities that may be dangerous for things or persons present at the event or that impede or prevent the proper performance of the event itself;
● To carry out activities that breach third party rights regarding trademarks, patents, copyrights etc. This list is not exhaustive.
In any case, the Organiser's liability will be limited - except in cases of wilful misconduct and/or gross negligence - to the equivalent of the price of the Admission Ticket purchased by the Participant, while nothing will be due to the Participant in the event that they have obtained access to the Event for free.
Event recordings During the Event, the Organiser, including any appointed data processors, may take audio/video recordings and/or photographs that may depict the Participants and that may then be used by Codemotion for promotional and communication purposes or for archiving purposes. Such content may be distributed in print, by screening and, in general, be reproduced in any form, including in part and/or after processing, including as part of scientific, educational and cultural initiatives and in any context to promote the Organiser’s activities and any internal/external communication initiative including through publication on the controller’s social media channels (e.g. LinkedIn, Facebook, YouTube, etc.). Therefore, by entering the Event venue, the Participant is aware that they may be recorded and grants the Organiser a right unrestricted in time and space, free of charge, to publish, distribute, print, screen and, in general, reproduce, including in part and/or after processing, images and/or video recordings and/or audio recordings (including any written actions) regarding their person (hereinafter the “Material”) that took place in the context of the Event, and by the company and/or professionals from daily or periodical newspapers, television channels or social media channels (hereinafter “Media") through daily newspapers, magazines and books, or though terrestrial, satellite or cable television, radio, online radio, online television, internet, social networks, streaming and analogue and/or digital systems for scientific, informative, educational and institutional purposes.
Processing personal data Pursuant to Articles 13 and 14 of EU Regulation 2016/679, as Data Controller, Codemotion SpA (with registered office at via Marsala 29/H, Rome, and Tax ID & VAT number 12392791005) advises that the personal data of Participants will be processed in full compliance with current legislation. Acceptance of the Regulations The acquisition of Admission Tickets implies the Participant's full and unreserved acceptance of these Regulations.
Publication and validity of the Regulations These Regulations are valid and effective from their date of publication. Codemotion reserves the right to make changes to these Regulations at any time, without notice. The rights acquired by Participants who have already purchased an Admission Ticket are reserved. These Regulations cancel and replace any previous regulations regarding the event in question.

This privacy policy has been provided pursuant to Articles 13 and 14 of (EU) Regulation 2016/679 (hereinafter “GDPR”) for the purpose of describing the rationale for and methods of processing personal data collected from users that purchase admission tickets in order to participate in Event Codemotion Conference - Milan 2024, organised by Codemotion SpA Data Controller: Codemotion SpA, with registered office in via Marsala 29/H, tax code and VAT no. 12392791005 (hereinafter “Codemotion” or the “Data Controller”). The Data Controller can be contacted at the email address gdpr@codemotion.it. Type of data processed: Codemotion processes the personal data provided by Event participants at the time at which the Admission Ticket is purchased. In particular, Codemotion collects the following data: [personal data such as: forename, surname, city, nationality, email address; curricular data]
Purpose and legal basis for processing: Codemotion processes the personal data of the data subject to: a) grant access to the Event venue upon the purchase of Admission Tickets; b)record and distribute audio/video recordings and/or photographs of the Event; c) communicate the data provided in the purchase forms, event registration forms or when registering on the Platform to partners/sponsors of the initiatives or third party companies in order to receive commercial information or for recruiting purposes, the list of which can be consulted at this link, who will process the data as autonomous data controllers; d) send communications from Codemotion for marketing and recruiting purposes; e) send communications regarding the Event or products and similar services; Processing under a) for which the granting of data is required in order to participate in the event is necessary to perform the contract between Codemotion and the Participant and to grant access to the Event venue. Processing under b), c) and d) is based on the consent of the data subject. Lastly, processing under e) is based on the legitimate interests of the Data Controller. In particular, in order to participate in the in- person events/shows organised by Codemotion, processing data is necessary both for reasons of security and in order to grant use to the services offered by Codemotion during the event. Specifically, the participant shall be given a personal badge required to identify them and use such services and meals and in order to access reserved areas. The Codemotion badge contains personal information such as the participant’s forename, surname, job title and company name in addition to a QR code. By registering for a Codemotion event, the participant is aware that allowing a sponsor, company or other participant to scan their QR code shall authorise Codemotion to share their contact data such as forename, surname, company name, job title and email address with such party for promotional and/or recruiting purposes.
Retention period: the retention period depends on the various aforementioned purposes. In particular, the data collected for the purposes under a) shall be stored for a period not less than ten years. With regard to audio/video recordings and photographs of the Event, data shall be stored until its erasure is requested. With regard to communication to partners/third parties, data shall be stored until the consent of the data subject is withdrawn. Lastly, with regard to communications regarding events and similar products, data shall be retained until the data subject objects to its processing. Transfer of data outwith the EU: the personal data collected may be transferred to countries outwith the EU, including for the purposes of the technical management of the collected data. In this case, and in full compliance with the requirements of Regulation (EU) 2016/679, it will be transferred to third countries that provide adequate protection for such transfer or it will be subject to the conclusion of specific agreements with such third parties containing appropriate safeguarding provisions and guarantees for the protection of your personal data (“standard contractual provisions"). Data subjects may lodge complaints with the competent authority in order to protect their data pursuant to Article 77 of (EU) Regulation 2016/679 if they believe that their personal data is being processed in breach of any applicable data protection law.
