Event Terms & Conditions

Summary

CityCamp Philly is a one-day, participant-led civic unconference on Sunday, November 15, 2026 at the Philadelphia Ethical Society, hosted by the Ethical Society and run by a volunteer planning team. Tickets are $25, refundable in full until November 1st and transferable after that, with a full refund if organizers cancel. Attendees must be 18 or older, agree to the Code of Conduct and the venue's rules, and take part rather than just watch. Sessions run under the Chatham House Rule: share what you hear, not who said it, and don't record sessions yourself. By attending you consent to being photographed and recorded. Registration info is used only to run the event and send the recap and survey, never sold or shared with partners. Attendees come at their own risk, and organizers support conversation and connection but don't promise to implement or fund what comes out of the day.

CityCamp Philly Terms and Conditions

By registering for CityCamp Philly, you agree to the terms below. We've kept them short and in plain language. If anything is unclear, email us at citycamp@phillyethics.org.

The event

CityCamp Philly is a one-day, participant-led civic unconference on Sunday, November 15, 2026 at the Philadelphia Ethical Society, 1906 Rittenhouse Square, Philadelphia, PA 19103. It is hosted by the Philadelphia Ethical Society and organized by a volunteer planning team.

It's an unconference: the people attending help plan the schedule. There are no pre-selected speakers. By registering, you're agreeing to take part, not just watch.

Tickets

Tickets are $25 per person. Your ticket covers one seat for the day. Each person attending needs their own registration.

Registration is first come, first served. If we reach capacity, we'll open a waitlist and let you know if a spot opens up.

Refunds and transfers

If you can't make it, email us at citycamp@phillyethics.org by Sunday, November 1, 2026 and we'll refund your ticket in full. Refunds go back to your original payment method and usually take 5 to 10 business days to appear.

After that date, tickets are non-refundable, but you can give yours to someone else. Use the reassign link in your confirmation email to enter their name and email address, and they'll get their own ticket.

If cost is a barrier, email us. We'd rather have you in the room.

If we have to cancel or postpone

If organizers cancel CityCamp Philly, you'll get a full refund. If we postpone, your ticket carries over to the new date, or you can ask for a refund instead. We'll notify registered attendees by email as soon as a decision is made. Organizers aren't responsible for travel, lodging, or other costs you may have incurred.

Who can attend

You must be 18 or older to register and attend.

Code of Conduct

CityCamp Philly welcomes everyone regardless of background, gender, orientation, ability, ethnicity, or beliefs. We're committed to a safe, inclusive environment where all can contribute.

By registering, you agree to follow the CityCamp Philly Code of Conduct and the Philadelphia Ethical Society's building rules. Organizers may ask anyone who violates the Code of Conduct to leave, without a refund.

CityCamp Philly is nonpartisan. People are welcome to discuss civic and political issues, but campaign activity and discriminatory conduct are not allowed.

Chatham House Rule

Sessions at CityCamp Philly run under the Chatham House Rule. That means you're free to share and use what you hear, but not who said it. Don't attribute comments to a specific person or their organization, in conversation, in your notes, or online, unless they've said it's okay.

This applies to everyone in the room, including organizers, volunteers, note-takers, and press. Session notes and the public recap will capture ideas and themes, not names.

Photos and recording

By attending, you agree that you may be photographed or filmed, and that organizers may use photos and video in event recaps, on social media, and in future CityCamp Philly materials. Photos and video will not be captioned with quotes attributed to identifiable people, in keeping with the Chatham House Rule.

Please don't audio- or video-record sessions yourself. Press and media must ask permission before publishing any content from the event and must follow the Chatham House Rule.

If you'd prefer not to be photographed or filmed, let us know at check-in and we'll let photographers know to leave you out. We'll do our best to honor it and won't knowingly publish your image.

Your information

We collect your name, email address, and your answers to the registration questions. We use this to run the event, send you confirmations and reminders, and share the post-event recap and feedback survey. We won't sell your information or share it with partners or sponsors. You can unsubscribe from our emails at any time.

Accessibility

We want everyone to be able to take part. If you need an accommodation, email us at citycamp@phillyethics.org and we'll work with you.

Your safety and belongings

You attend at your own risk. Organizers and the Philadelphia Ethical Society aren't responsible for lost, stolen, or damaged personal property, or for injury, except where the law says otherwise.

What CityCamp Philly is and isn't

CityCamp Philly supports conversation, connection, and next steps that participants choose to carry forward. Organizers don't promise to implement, fund, or sustain ideas that come out of the event, and the event doesn't speak for the city of Philadelphia or its residents.

Changes to these terms

We may update these terms before the event. If we make a substantive change, we'll email registered attendees.

Event Privacy Policy

Summary

The Philadelphia Ethical Society is responsible for attendee information; contact citycamp@phillyethics.org with any request. Registration collects your name, email, and a few short questions, used to run the event, send reminders and the recap, and understand who's attending, with answers reported only in aggregate. Tito handles registration and payment through a third-party processor, so no one on our side ever sees card details. Accommodation requests are used only to arrange the accommodation. Sessions run under the Chatham House Rule, and attendees consent to photos by default. Only the co-leads and volunteers who need it can see attendee data, which is never sold or shared with partners or sponsors. Tito and Mailchimp store it under their own policies. We keep the registration list so you can hear about a future CityCamp Philly, but every email has an unsubscribe link, and you can ask to see, correct, or delete your information at any time.

Who's responsible

CityCamp Philly is hosted by the Philadelphia Ethical Society, 1906 Rittenhouse Square, Philadelphia, PA 19103, and organized by a volunteer planning team. The Ethical Society is responsible for the information described here. Contact the planning team at citycamp@phillyethics.org with any privacy request or question.

What we collect and why

When you register. We ask for your name, email address, and a few short questions about you. Required questions are marked; the rest you can skip. We use your name and email to confirm your ticket, send event details and reminders, check you in on the day, and send you the post-event recap and feedback survey. We use the other answers to plan the event and understand who we're reaching, and we only ever report them in aggregate, never in a way that identifies you.

Accessibility and accommodation requests. If you tell us you need an accommodation, we use that information only to arrange it. It's shared only with the people setting up the accommodation.

Payment and refunds. Tickets are sold through Tito. Tito handles registration on our behalf and passes your payment to a third-party payment processor. Neither we nor Tito see or store your card details. If you request a refund, we issue it through Tito and it goes back to your original payment method; we keep a record of the refund in Tito. Tito's privacy policy is at ti.to/privacy.

Ticket transfers. If you give your ticket to someone else using the reassign link in your confirmation email, the new ticket holder's name and email replace yours on the attendee list, and they'll receive event emails going forward.

During the event. Sessions run under the Chatham House Rule, so session notes capture ideas and themes without attributing them to individuals. Photos and video may be taken and used in recaps, social media, and future CityCamp Philly materials; you can opt out at check-in.

After the event. The feedback survey is optional and anonymous unless you choose to include your name or email.

Who can see your information

The three co-leads and a small number of volunteers who need it to run the event (for example, check-in volunteers see the attendee list). Everyone with access agrees to use it only for CityCamp Philly.

We don't sell your information. We don't share it with partners, sponsors, or other organizations. If a session generates a group that wants to stay in touch, we'll only share your contact details with that group if you tell us to.

Service providers

To run the event we use Tito for registration and ticketing and Mailchimp for email, including reminders, the recap, and future CityCamp Philly news. These services store your information on our behalf and under their own privacy policies: Tito's and Mailchimp's. We choose services we trust and use only what's needed.

How long we keep it

We keep the registration list, including your email address, so we can let you know about a future CityCamp Philly. Every email we send includes an unsubscribe link, and you can ask us to delete your information at any time. Accommodation requests are deleted after the event.

Your choices

You can, at any time:

  • Unsubscribe from CityCamp Philly emails using the link in any message.
  • Ask us what information we hold about you.
  • Ask us to correct or delete it.
  • Opt out of photography at check-in.

Email citycamp@phillyethics.org for any of these. We'll respond within [two weeks].

Changes to this policy

If we change this policy before the event in any way that matters, we'll email registered attendees.
