In this section, words like “you”, “bearer”, and “purchaser” will refer to you – the person who will buy the tickets to an Applied Machine Learning Days event. On the other hand, “AMLD”, “we”, “us”, “our”, “issuer” and similar terms will indicate the organizers of the Applied Machine Learning Days organization.

Thank you for your interest in participating in an Applied Machine Learning Days event. Before you proceed to purchase tickets, we strongly recommend you to go through the following terms and conditions.

By opting to purchase, allocate or possess tickets to the Applied Machine Learning Days, you automatically agree to our terms of use. Please note that we reserve the right to make changes, revisions, and amendments, or add/remove sections from this set of terms and conditions – without any prior notifications to you.

Ticket Pricing All prices mentioned on this website are including Swiss VAT of 8.1%. As the event is organized from and taking place in Switzerland, the tickets are subject to Swiss VAT in all cases. All conference and workshop tickets also include the booking and payment fee. The ticket price for the conference and the workshops does not cover any travel or accommodation. The ticket you purchase represents a revocable license for you to access an Applied Machine Learning Days event, when the Applied Machine Learning Days is scheduled to be hosted, online or physically, depending on the ticket type you are in possession of. Kindly note that Ti.to is the sole authorized source for purchasing the Applied Machine Learning Days tickets. If you obtain your ticket(s) from any other unauthorized source, you take on the risks of those tickets turning out to be counterfeit or reported to be stolen. The issuer has the right to dishonor such stolen/counterfeit tickets and declare them as void. The Applied Machine Learning Days tickets delivered to you are not meant to be used for illegal reselling, copying, reproducing, or misrepresenting in any form. You cannot use the ticket(s) for any promotional/advertising purposes either (including sweepstakes and competitions) without our prior approval. Any proven record of such activities will result in immediate seizure and cancellation of your ticket(s). Applied Machine Learning Days tickets cannot be redeemed against cash, credits, or any other benefits.

Currency All ticket prices stated in Swiss Francs – CHF.

Payment Methods We only accept registrations through our ticket hosting platform Ti.to. Payments are made through the payment service Stripe which accepts all major credit cards. An invoice will be issued directly from Ti.to and sent to you by email. You can access this invoice and update its details yourself.

Cancellation If an AMLD event is cancelled in part or its entirety due to any unforeseen circumstances, the Applied Machine Learning Days has the sole and absolute right to: 1. reschedule the event, or 2. issue a partial/full refund, or 3. not issue any refunds. Please note that the decision of the issuer in such cases will be deemed final and binding. If an AMLD event is cancelled due to any factors or causes not in the control of the issuer, the latter will offer a partial or full refund, or postpone the event, or provide a comparable ‘make good’ option. These factors will be inclusive of, but not limited to, natural disasters, federal/state announcements (relating COVID-19). Once again, the decision of the Applied Machine Learning Days organization will be considered final. If an event has to be rescheduled to other dates, you will not be eligible for any refunds. In case the event is fully cancelled, the refund, if issued, will include ONLY the face value/printed value of the ticket(s) or grant a discount for the price of a future AMLD event. The bearer cannot, under any circumstances, claim refunds on shipping fees, processing fees, handling fees, and such other charges.

Refunds or Exchanges All ticket sales are deemed as FINAL TRANSACTIONS. Your registration is non-refundable once purchased. Cancellations of your travel and/or hotel reservations are your own responsibility.

Transferring your ticket You received emails for your original purchase that contain links that allow you to assign tickets to any person of your choosing. Make sure to do this early enough but no later than March 15th, 2024 so all the communications, final tickets and access are sent to the assigned person.

Code of Conduct All individuals involved in AMLD EPFL commit to adhere to the AMLD Code of Conduct, specifically to the following: a. Promote a safe, respectful, and accessible event for all participants; b. Promote equality, diversity, and inclusion, and ensure interactions that are free from harassment, power abuse, and discrimination; c. Respect each other’s boundaries and privacy; d. Encourage a sense of community where everyone looks out for each other and ensure that everybody feels included, welcome and safe regardless of their backgrounds, perspectives and walks of life; e. Maintain professionalism in all interactions; f. Actively support efforts to hold a sustainable event by minimizing own environmental impact particularly linked to travel, food, and waste. In addition to the above, the AMLD EPFL organizing team, track and/workshop organizers, partners, exhibitors, and suppliers, are expected to ensure a diverse composition of speakers, panelists, staff, and volunteers and to invite and give visibility to a diverse community of participants. All individuals involved in the AMLD will refrain from the following: a. Harassment b. Inappropriate Conduct c. Abuse of power and bullying d. Discrimination

Damages The AMLD organization and EPFL do not take any responsibility for personal or financial damages caused to you during an event, this includes lost, stolen, forgotten or misplaced items at the venue. Financial reimbursement claims on these counts will not be entertained. Please note that you purchase AMLD tickets on your own free will. As such, you do not have the right to initiate a chargeback claim or dispute on the provider of the credit card/debit card that had been used for the transaction. Further refund, return or cancellation requests will not be entertained either. In all cases of disputes between the ticket-bearer and the ticket-issuer, the decision of the latter will be deemed final. In case a dispute cannot be resolved, the help of an independent third-party arbiter will be sought.

Recording and Transmission You agree that the Applied Machine Learning Days is a public event, that your appearance and actions inside and outside the venue or the online platform where the event occurs are public in nature, and that you have no expectation of privacy with regard to your actions or conduct at the event. You grant permission to the Applied Machine Learning Days, including but not limited to our brand and media partners, to utilize your image, likeness, acts, poses, plays, appearance, movements, and statements in any live or recorded audio, video, or photographic display of the event for any promotional purpose, without further authorization from, or compensation to, you or anyone acting on your behalf. If after the event you find a published picture of yourself that you’d like to have removed, please let us know at info@appliedmldays.org. Video and sound recording of any session, talk, presentation or workshop during an AMLD event is NOT permitted unless permission is given by the organizer of the event. In the case of virtual events, you may view the virtual event solely for your own personal purpose.

Event Privacy Policy

We collect information from you when you provide it to us directly, or when we request it from you, mainly during: - Newsletter registration (email) - Attendee registration (name, email & company) - When purchasing a ticket (payment and credit card information) We automatically collect certain information from your browser or device when you use certain web-services or read a message from us (cookies). We use your information in order to provide, operate, improve, understand, customize, support, and market the Applied Machine Learning Days. We may store your data electronically and share it with some third-party service providers (Airtable, AWS, Google Apps, Key4Events, Stripe and Ti.to). We strive to use appropriate technical and organisational skills to protect your personal information. You have the right to demand the correction, update or deletion of the personal information concerning you and stored by us at any time at info@appliedmldays.org.

  1. Scope The event is organized by the Applied Machine Learning Days team (“AMLD”, “we”, “us”, “our”), organizers of AMLD Events (“the AMLD Events”) headquartered at EPFL, 1015 Lausanne, Switzerland. EPFL is the Swiss Federal Institute of Technology, registered as a non-profit (Swiss Governmental Organization) under the unique enterprise identification number CHE-116.075.613. We are committed to handle and protect your personal data responsibly. As such, we comply with the legal requirements laid down in the Swiss Federal Act on Data Protection (FADP), the Ordinance to the Federal Act on Data Protection (OFADP), the Telecommunications Act (TCA) and other provisions of Swiss data protection law. We will also comply with the provisions of the European General Data Protection Regulation (GDPR) insofar as they apply to us. The purpose of this document is to inform you which personal data we are collecting and how we process them. This Privacy Policy relates to our use of any personal information we collect or use in relation to the following services (collectively, the “Services”): • the AMLD Events; • the AMLD Events websites and their related subdomains including those pertaining; • to registration for attendance at AMLD Events and to be a co-organizer (tracks & workshops), speaker, exhibitor, partner or volunteer at the AMLD Events; • the AMLD Events apps; • online surveys relating to the AMLD Events; • messages sent via email from the Event organizers; • the AMLD Events official social media channels.

  2. Information we collect We collect and receive information in several different ways. In many cases, you choose what information to provide, although some information is required for us to provide you the Services.

2.1. Directly from you, or approved third parties We collect a variety of information from you when you provide it to us directly, when we request it from you, or when you give us permission to get it from a third party source. • Newsletter registration information: when you register for the AMLD Newsletter, you must provide us with basic information such as an email address, first name and last name. We also give you the option to provide additional information. This information will be stored in the EPFL inhouse newsletter tool. • Attendee registration information: when you register to attend an AMLD Event, you must provide us with basic information such as first and last name, organization, gender, country and email address. We also give you the option to provide additional information. This information will be shared with our third-party ticketing partner Ti.to, the badge printing company and stored in our inhouse EPFL marketing platform. • Payment and credit card information: when purchasing tickets to attend an AMLD Event, you must provide us with your name, email address, and credit card. This information will only be shared with our third-party ticketing partner Ti.to and our third-party online payment processor Stripe, who perform tasks required to complete the purchase transaction. Stripe does not share your financial information, like credit card numbers, with AMLD, but they may share non-financial information with us related to your purchases, like your name, billing address, and the event ticket purchased. • Content submission: when applying to calls or submitting content to AMLD Events, such as tracks, workshops, challenges, presentations, startups, etc. you must provide us with basic information such as name, email address, gender, country and organization. This information may be shared with and stored on third-parties platforms such as Airtable and Google Drive. • Speaker and Organizer information and profile: when involved with AMLD as a speaker or content organizer, you must provide us with basic information such as name, email address, job title, organization and profile picture. We also give you the option to provide additional information (social media links and personal bio). In some cases, we might look for already available data on the web and complete your profile for you. This information may be shared with and stored on third-parties platforms such as Airtable, Google Drive and Key4Events. This information will also be publicly shared on AMLD websites and apps on a speaker or organizer profile. • Speaker or Organizer receiving travel cost reimbursement: in accordance with EPFL reimbursement rules, if you are a speaker or content organizer reimbursed for some expenses related to AMLD Events, you must provide us with your name, physical address, email address, proof of identity and full banking information. This information may be shared with and stored on third-parties platforms such as Airtable, Google Drive and Key4Events and will be shared with EPFL Finance Department. • AMLD participant profile information: your information will be uploaded to the AMLD event website to network among registered participants. For such profile creation, we use basic information such as first and last name, organization, country and email address. We also give you the option to provide additional information. This information will be stored on the event platform. Your first name, last name, organization and country will be visible to other registered participants who are logged in to the event website. You can hide your profile by disabling the visibility option on the event website. • AMLD Event app profile information: We may offer an event app to ease participation in and navigation at the AMLD Event. In such case, we will encourage you to download such app. You then may have the option of providing profile information in the AMLD Event app, such as name and email address, job title and whether you want your profile information to be discoverable within the app by other attendees and partners of the AMLD Event. • AMLD exhibitors: to book an exhibition stand you need to provide as with the name and address of your company as well as the contact info of the stand manager(s) and a financial focal point. Such information will be shared with the EPFL Finance team, the Venue and other third-party providers that are involved in the delivery of services for your stand. In addition, we will publish the contact information of your company on the event website plus the event app, if applicable, if you wish to be able to be contacted by participants. • AMLD partners: companies and organizations wishing to become a partner of the AMLD Event, will need to provide us with the name and address of your company as well as the personal contact info of one focal point for the Us and a financial focal point for processing payment. • AMLD Event survey responses: we may ask you to participate in optional surveys regarding your experience at the AMLD Event in order to help us improve the event and for related commercial purposes. • Third party social media accounts: if you choose to connect your social media account(s) with the AMLD Event app, we may receive certain information from that account, such as your title, picture, and other information you authorize. We may use your friends or connections lists to make recommendations in the AMLD Event app, for example to suggest mutual connections.

2.2. From your browser or device We automatically collect certain information from your browser or device when you use certain Services or read a message from us. For example, we collect: • data regarding the device you are using, such as its unique identifier and operating system; logs will be recorded by our servers based on the information sent from your app or browser; • information automatically collected which may include usage details, email address, IP addresses, and information collected through tracking technologies).

  1. How we use your information We use your information in order to provide, operate, improve, understand, customize, support, and market our Services, including:

3.1. Providing and improving the requested Services We use your personal information as necessary to run AMLD Events, such as to register attendees, issue tickets, facilitate information sharing with partners with whom you have consented for us to share information, and provide you with relevant connections and content during the Event based on this information and your use of the AMLD website and possibly app.

3.2. Communicating with you We use your personal information to contact you regarding your registration to attend, volunteer, organize content or speak at an AMLD Event, to communicate with you, to notify you of any changes to our policies and practices, for commercial, sales or partnership purposes, and to respond to any requests or inquiries you may submit to us. If you subscribe to marketing, such as newsletters, we will use your information as described below. We may collect information from these communications to improve our Services and for the training and development of our staff.

3.3. Marketing If you opt-in to receiving marketing communications from us, we will use your personal information for outreach and marketing, such as to send you information about our future AMLD Event. You can opt-out of these communications by using the unsubscribe links in our communications. We may also use your information in order to market the AMLD Event. For example, we use photos and audio-visual footage from past Conferences which may contain your image or voice. If you want to exercise your right to object to any of these uses please email us at info@appliedmldays.org. Each time a newsletter is sent out, information is generated about the address file used, the subject, and the number of newsletters sent. We can also see which addresses have not yet received the newsletter, which address it was sent to and for which addresses the sending failed. In addition to that, we can see the opening rate, including information about the addresses that opened the newsletter and clicked on the various links and/or made a purchase (tracking pixels). Finally, we can see information about the addresses that have unsubscribed. We use this data for statistical purposes and with a view to optimizing the newsletter content and structure.

  1. Data storage and sharing with third parties We may store your data electronically. Any data stored electronically will be stored in EPFL’s own (NAS file storage service using the CIFS protocol) secure servers. We employ professional services from companies and individuals to help us operate our Services. Some of your data are therefore shared with and stored by third parties. We may share your personal information with the following third-party service providers: • Airtable: we may use Airtable to collect, organize and manage information and records useful to AMLD Events organization. More information on the privacy practices of Airtable https://airtable.com/privacy. • Google Apps: we use Google Analytics to track website traffic (web analytics service). Google uses the data collected to track and monitor the use of our websites. This data is shared with other Google services. Google may use the collected data to contextualize and personalize the ads of its own advertising network. We use Google Drive, Google Docs and Google Sheets to collect, organize and manage information and records useful to AMLD Events organization. More information on the privacy practices of Google: https://policies.google.com/privacy. • KEY4EVENTS: we use KEY4EVENTS as provider for our event platform as per section 10 below. • STCC: STCC is the venue where the event will be hold. We transmit personal information of speakers and exhibitors to them or their subcontractors for providing necessary services to you. Stripe collects identifying information about the devices that connect to its services, personal information and credit card information. Stripe uses this information to operate and improve the services it provides to us, including for fraud detection.   2. Data security The security of your personal information is important to us. We strive to use appropriate technical and organizational skills to protect your personal information. Despite these measures, the Internet is not a fully secure environment, and we cannot guarantee that your personal information won’t be intercepted or improperly accessed.

  3. Data transfers As a global business, we access and transfer information around the world. If you are based in Switzerland or the EU, this means that we access and transfer your personal information outside of it, including in and to the United States. The privacy protections and the rights of authorities to access your personal information in some of these countries may not be the same as in your home country. We transfer your personal information in accordance with the law and take steps to ensure that your information is appropriately protected.

  4. Your rights You have a number of rights in relation to your information that we process. Note that in certain circumstances these rights might not be absolute.

7.1. Information, Access and Porting You have the right to know whether your personal information is being processed by us, how we use it and your rights in relation to your personal information. You may request information about the personal information concerning you and stored by us at any time. Requests for information must be submitted in writing by email at info@appliedmldays.org and must be accompanied by proof of identity.

7.2. Rectify, Restrict and Delete You have the right to demand the correction, update or deletion of the personal information concerning you and stored by us at any time. Requests for rectification or deletion must be submitted in writing by email at info@appliedmldays.org and must be accompanied by proof of identity. Please note that by law, certain data must be retained for a specific period. We are therefore required to store such data until that period has ended. We set these data apart in our system and only use them to comply with the relevant legal provisions.

7.3. Object and Revoke consent If we have specifically asked for your consent to use your information, you have the right to object to the processing or withdraw your consent at any time. For example, if we ask for your consent for direct marketing purposes, you can revoke your consent using the unsubscribe link in such communications, changing your profile settings or by contacting us.

  1. How can you stop the use of personal information belonging to you for direct marketing? Event Data Retention Policy

Data will be kept until 10 years after the event date then it will be anonymized. If you’d like your data removed sooner, please contact us. Note that some specific data (e.g. invoices and payment records) might need to be kept longer by Swiss law.
